Position Summary
The Associate Repair Order Coordinator is an entry-level position supporting the Service/Repairs department in coordinating customer repair orders for wastewater treatment equipment.
The ideal candidate is technically curious, mechanically inclined, and enjoys working with people. Extensive industry experience is not required, but candidates should be comfortable around equipment and able to learn technical concepts quickly.
Candidates with experience working on or around cars, forklifts, tractors, construction equipment, agricultural equipment, or other mechanical equipment may be particularly successful in this role.
Strong customer service skills are essential. The Associate Repair Order Coordinator will frequently communicate with customers and must be able to listen carefully, understand their needs, communicate clearly, and follow through on commitments.
Key Responsibilities
- Receive, review, and process customer repair requests and assist with creating repair orders.
- Coordinate scheduling of service technicians based on repair priorities and resource availability.
- Communicate with customers regarding repair status, estimates, approvals, scheduling, and expected completion dates.
- Maintain professional and responsive customer relationships throughout the repair process.
- Read and interpret basic blueprints, equipment drawings, schematics, and technical documentation.
- Develop an understanding of wastewater treatment equipment, components, and repair processes.
- Prepare and maintain repair documentation, work orders, service reports, and parts information.
- Coordinate with the Parts Department to determine component availability and assist with procurement.
- Track open repair orders and follow up with technicians and internal departments to ensure work stays on schedule.
- Identify potential delays and elevate issues to the Service Manager or Operations Manager.
- Assist with warranty documentation and manufacturer requirements.
- Assist with invoice review, service reporting, and repair metrics.
- Enter and maintain accurate information in ERP, CRM, or service management systems.
- Use Microsoft Office applications, including Excel, Outlook, Word, and Teams, to communicate and maintain records.
- Support continuous improvement initiatives designed to improve service efficiency, repair turnaround time, and customer satisfaction.
- Develop technical and commercial knowledge that can support future advancement within the organization.
- Perform other related duties as assigned.
Qualifications
Required
- High school diploma or equivalent.
- Mechanical aptitude.
- Ability to read and understand blueprints and technical drawings.

Preferred
- Associate's or bachelor's degree in a technical, engineering, business, or related field.
- Experience working with or around automotive, construction, agricultural, material-handling, or industrial equipment.
- Experience with forklifts, tractors, heavy equipment, construction equipment, or other jobsite equipment.
- Mechanical or technical experience gained through employment, vocational training, military service, or hands-on experience.
- Experience with ERP, CRM, or service management systems.
- Previous experience in customer service, equipment service, repair coordination, or manufacturing.

Compensation
This is an exempt position offering a salary range of $45,000 to $60,000 annually and is bonus eligible.
The target bonus is 10% of base salary. The bonus is based on the company's budgeted EBITDA performance. If budgeted targets are not met, the Board of Directors will determine the bonus, if any.
