Job Description for District Clerk's Office

Accurately compose, compile, assimilate, and maintain the care, custody, and control of District Court records. Monitor and prioritize workflow to ensure timely processing of all work. Attend court sessions and act as a liaison between the Court and other county departments, law enforcement agencies, attorneys, and the public as directed by District Clerk policy. Ensure proper procedures are followed in all tasks.

These duties cover all sections of the District Clerk's Office, including Civil, Criminal, and Family. You are not required to know all sections but should be familiar with those applicable to your assigned section.

  1. Maintain all case files for the District Courts.
  2. Train in different courts as work assignments change and learn different procedures.
  3. Produce and issue warrants and processes to ensure proper movement and appearance of parties and witnesses.
  4. Issue Orders of Sale, Executions, and Abstract of Judgments; record returned service papers promptly.
  5. Identify and file mark all documents received via mail, electronic filing, or in person.
  6. Ensure proper processing and distribution of paperwork according to Texas Rules of Court, Texas Family Code, Texas Penal Code, Code of Criminal Procedure, and office policies.
  7. Conform, process, certify, and distribute copies of court orders; handle judgments, sentences, and commitments.
  8. Input and update information on legal documents, case status, and service paper tracking in the computer system.
  9. Generate monthly reports of court case activity for submission to Austin.
  10. Perform administrative duties and handle phone calls in the absence of the Court Coordinator or Administrative Clerk.
  11. Manage docket entries, hearings, and notifications to attorneys and parties; assist the judge in the absence of the Court Coordinator.
  12. Provide case information and general guidance to attorneys, litigants, and the public.
  13. Operate scanners to produce electronic images for court records.
  14. Update dismissal dockets, process cost bills, and release judgments when paid.
  15. Review and approve bonds to ensure compliance with court orders and statutes.
  16. Prepare certificates of proceeding and notify agencies of court actions.
  17. Notify law enforcement, schools, and daycare centers in family violence cases.
  18. Assemble jury panels for trials, ensuring proper jury selection to prevent mistrials.
  19. Attend court sessions to verify proper procedures are followed in case processing.
  20. Handle filing and collection of monies for new suits, bonds, and transferred cases; balance cash drawer and make deposits.
  21. Process electronically filed cases across all sections; verify documents, debit accounts, and notify court clerks upon completion.
  22. Track, order, and return court files; assist the public with record searches.
  23. Perform related clerical duties and other responsibilities as assigned.

Requirements: Associate's degree and at least one (1) year of related experience, OR a high school diploma/GED with at least three (3) years of related experience. Knowledge of computers and word processing preferred. Must pass a 35-wpm typing test and a criminal background check. May require lifting boxes up to 50 pounds.

Note: Typing tests are by invitation only. Proof of educational attainment must be provided upon hire. Background checks include criminal history, credit, motor vehicle, employment, and education records. Incumbents must be able to sit, walk, stand, and perform physical tasks as required.
