Job description

Provides general administrative support to District Clerk Administration. Assists in receiving incoming telephone calls and directing people to the appropriate department. Completes assigned projects, reports, and duties to support the operation of District Clerk Administration.

Key Responsibilities
  1. Provide information and referrals for the main District Clerk’s Office line.
  2. Direct telephone calls to appropriate staff and take messages as needed.
  3. Serve as a receptionist, providing information and referrals to the public.
  4. Research client information for district court cases.
  5. Assist with setup and closures of District Clerk Subscriber Access (DCSA) accounts, advise on posting and refunding payments, and submit adjustment requests for accounts with payments in arrears.
  6. Prepare and complete DCSA reports.
  7. Prepare application packets for applicants and distribute them to interview panels.
  8. Schedule appointments for applicants.
  9. Perform clerical duties such as classifying, consolidating, summarizing, sorting, filing, copying, data entry, and distribution.
  10. Process and sort mail for delivery to District Clerk downtown locations.
  11. Maintain case file system and distribute case file requests to research queue.
  12. Assist with maintaining staff SAP spreadsheet.
  13. Perform other related duties as required.
Minimum Qualifications
  • High school diploma or equivalent.
  • Three (3) years of full-time general clerical experience working with the public, including two (2) years of answering multi-line telephones and performing data entry.
  • Excellent communication, interpersonal, and multi-tasking skills to interact with the public and county employees.
  • Ability to operate a multi-line phone system.
  • Knowledge of personal computers, keyboarding, typing, data entry, and office equipment.
  • Team-oriented, professional demeanor, problem-solving, and time management skills.
  • Ability to handle stressful situations calmly and professionally.
