Job description

Job Description: District Court Clerk

Accurately compose, compile, assimilate, and maintain the care, custody, and control of District Court records. Monitor and prioritize workflow to ensure timely processing. Attend Court sessions and act as a liaison between the Court and other County departments, law enforcement agencies, attorneys, and the public as directed by District Clerk policy and management. Ensure proper procedures are followed regarding the tasks of the position.

These duties reflect all sections of the District Clerk's Office, including Civil, Criminal, and Family. It is not required to know all sections but only those applicable to your assigned section.

  1. Maintain all case files for the District Courts.
  2. Train in different Courts as work assignments change and learn procedures of each Court.
  3. Produce and issue warrants and processes to ensure proper movement and appearance of parties and witnesses.
  4. Issue Orders of Sale, Executions, and Abstract of Judgments; record returned service papers promptly.
  5. Identify and file mark all documents via mail, electronic filing, or in person.
  6. Process paperwork/pleadings according to Texas Rules of Court, Texas Family Code, Texas Penal Code, Code of Criminal Procedure, and office policies.
  7. Conform, process, certify, and distribute copies of all orders signed by the judge; handle judgments, sentences, and commitments.
  8. Input and update computer information on legal documents, case status, and service paper tracking.
  9. Generate monthly court activity reports for Austin.
  10. Assume administrative duties in the absence of the Administrative Clerk and Court Coordinator.
  11. Manage docket entries, hearings, and notifications to attorneys and parties; assist the judge when needed.
  12. Provide guidance and case information to attorneys, litigants, and the public.
  13. Operate scanners for electronic recording of court minutes and records.
  14. Update dismissal dockets, process cost bills, and release judgments when paid.
  15. Review and approve bonds in accordance with court orders and statutes.
  16. Prepare certificates of proceeding and notify agencies of court actions.
  17. Notify law enforcement, schools, and daycare centers in family violence cases.
  18. Assemble jury strikes for attorneys, ensuring proper juror selection.
  19. Attend court sessions to ensure proper procedures are followed.
  20. Manage filing and collection of monies for cases, bonds, and related documents; balance cash drawer and deposit daily.
  21. Process electronically filed cases across all sections, verify documents, and notify Court Clerks upon completion.
  22. Track, order, and return closed court files; assist the public with record searches.
  23. Perform all related clerical duties and other duties as assigned.

Minimum Requirements: Associate's degree and at least one year of related experience, OR a high school diploma or GED with three years of related experience. Knowledge of personal computers and word processing is preferred. Must pass a 35-wpm typing test, a criminal background check, and meet all administrative requirements. The position may require lifting boxes weighing up to 50 pounds.

Additional Notes: Typing tests are by invitation only. Proof of educational attainment must be provided at hire. Background checks include criminal history and may include credit, motor vehicle, employment, and educational verification. The role requires sitting, walking, stooping, standing, carrying, lifting, reaching, pulling, and pushing during duties.
