Job Summary

The Associate Director of Gift Administration is a critical, highly‑detailed position responsible for the operational oversight of daily gift processing, gift documentation, and fund compliance. The Associate Director collaborates with the Director of Gift & Data Administration to ensure accurate management of donations and gift funds, timely production of gift agreements, and serves as an internal subject matter expert on gift types, federal tax regulations (IRS), and institutional policies to safeguard donor intent and support the College’s mission. This is a full‑time, 12‑month, exempt, benefits‑eligible position reporting to the Director, Gift and Data Administration.

Essential Job Functions
  • Gift documentation and fund support: Manage the full lifecycle of gift documentation, draft, review, and maintain donor agreements, coordinate CRM records, and conduct periodic reviews of gift funds to ensure compliance with donor intent and institutional policies.
  • Gift processing management and quality control: Oversee daily gift processing, record‑keeping, batching, and depositing of all gifts, handle problematic entries, manage pledge adjustments, fund creation, and maintain accurate, audit‑ready records in line with IRS regulations.
  • Training and process improvement: Lead design, implementation, and continuous improvement of operational workflows and best practices, identify opportunities to streamline processes, and develop and deliver training for gift processing staff and Advancement partners.
  • Leadership: Mentor and manage direct reports, inspire coordinators, maintain budget compliance, and support staff development.
Minimum Qualifications
  • Bachelor’s degree and at least three years of experience in gift administration, accounting, auditing, or compliance, or an equivalent combination of education and experience.
  • Strong interpersonal and communication skills, with meticulous attention to detail and excellent writing, editing, and proofreading abilities.
  • Ability to draft documents with careful attention to language, anticipating future program needs, policy updates, and compliance requirements.
  • High‑level organizational and interpersonal skills, including diplomacy, tact, discretion, and confidentiality.
  • Ability to handle multiple deadline‑driven projects simultaneously.
  • In‑depth understanding of IRS guidelines for charitable donations and experience with philanthropic gifts from varied sources.
  • Proficiency with Microsoft Office Suite, Google Suite, CRM database functions, and other web‑based tools.
Preferred Qualifications
  • Experience with Blackbaud CRM or a similar advancement system.
  • Experience in nonprofit, higher‑education, or fundraising environments.
  • Experience using CASE reporting standards.
Physical Demands

Must remain stationary for extended periods, sit at a computer and use a mouse/keyboard for long periods.
