Associate Director, Gift Administration
Full‑time position; 40 hours per week; exempt staff.
Job Summary
Responsible for operational oversight of daily gift processing, gift documentation, and fund compliance. Serves as an internal subject‑matter expert on gift types, federal tax regulations, and institutional policies.
Responsibilities
- Manage full lifecycle of gift documentation, ensuring agreements align with donor intent, policy, and regulation.
- Maintain designation and purpose records in CRM and conduct periodic reviews of gift funds.
- Serve as SME on complex gift types and federal tax regulations, providing guidance to stakeholders.
- Oversee daily gift processing workflow, ensuring accurate recording, batching, and depositing of all gifts.
- Consult on problematic gift entries, pledge adjustments, fund creation, and documentation maintenance.
- Support annual reporting obligations and maintain audit‑ready records.
- Lead design, implementation, and continuous improvement of operational workflows, policies, and best practices.
- Develop and deliver training for staff and partners on operational best practices and CRM Revenue screens.
- Lead and mentor GPDM Coordinators; manage direct reports and stay within budget.
Minimum Qualifications
- Bachelor’s degree and at least three years’ experience in gift administration, accounting, auditing, or compliance.
- Strong interpersonal and communication skills, with excellent writing, editing, and proofreading.
- Proficiency in drafting documents with attention to language, policy updates, and compliance requirements.
- High‑level organizational, diplomatic, and confidential‑handling skills.
- Ability to manage multiple deadline‑driven projects simultaneously.
- Thorough understanding of IRS guidelines for charitable donations.
- Experience with Microsoft Office Suite, Google Suite, CRM database functions, and web‑based tools.
Preferred Qualifications
- Experience with Blackbaud CRM or similar advancement systems.
- Experience in a nonprofit, higher education, or fundraising environment.
- Experience using CASE reporting standards.
Physical Demands
Must be able to remain in a stationary position for extended periods; sit at a computer and use a mouse/keyboard for long periods.
