The Office of Graduate Studies has an exciting opportunity for a full-time Associate Director, Admissions to work on-site in Miami, FL.

CORE JOB SUMMARY

The Associate Director, Admissions plays a lead role in the design, implementation, and execution of a comprehensive recruitment and admission outreach program that meets the University’s targeted enrollment goals. This position participates in all activities related to the admission of students to undergraduate and graduate study at the University of Miami.

CORE JOB FUNCTIONS
  • 1. Leads a team of admission professionals in developing recruitment strategies and planning.
  • 2. Creates a calendar of events in support of the recruitment strategy, including, but not limited to, information sessions, school visits, interviews, and webinars.
  • 3. Assesses strategy effectiveness to determine impact on enrollment and makes recommendations for improvement.
  • 4. Oversees a team of admission professionals in charge of executing admission and recruitment related programs.
  • 5. Assists with planning and coordinating all campus visit programs including daily information sessions, campus tours, open houses, and additional special events.
  • 6. Organizes and leads counseling sessions and workshops on the application and admissions process.
  • 7. Plays a lead role in managing the travel recruiting budget that will be necessary to implement targeted enrollment strategies.
  • 8. Analyzes enrollment reports from a variety of sources and makes recommendations.
  • 9. Conducts training sessions for department staff to assist in developing and accessing recruitment and marketing efforts.
  • 10. Performs employee evaluations of direct reports as well as salary recommendations.
  • 11. Assists in developing and updating University of Miami admissions publications.
  • 12. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the unit and compliance with University policies and procedures. DEPARTMENT SPECIFIC JOB SUMMARY

The Associate Director, Admissions provides department-wide leadership for graduate admissions operations within the Office of Graduate Studies (OGS). The position oversees the systems, processes, data, personnel, and cross-functional relationships that support applicant prospecting, application review, admission, and matriculation across OGS master's and doctoral programs. The role advances consistent, compliant, technology-enabled admissions practices and serves as the central point of accountability for the continued development and integrity of OGS admissions operations. This role will report to the Associate Dean for Graduate Education.

DEPARTMENT SPECIFIC JOB FUNCTIONS
  • 1. Provides comprehensive leadership for admissions operations across OGS's master's and doctoral biomedical programs, from applicant prospecting through matriculation.
  • 2. Liaisons with admissions directors and personnel from Public Health Sciences, Physical Therapy, Medical Education, and other University partners to optimize efficiency of graduate student recruitment.
  • 3. Leads the administration, configuration, integration, and continuous improvement of admissions application systems, including Slate.
  • 4. Establishes and maintains consistent application, review, communication, and reporting processes across graduate programs.
  • 5. Develops recruitment and admissions strategies, assesses their effectiveness using enrollment data and trends, and recommends improvements.
  • 6. Coordinates admissions requirements and operational processes with graduate program directors, program managers, the Graduate School, IT, IRSA, and other University partners.
  • 7. Oversees admissions and enrollment data integrity, reconciliation, analysis, and reporting, including information used for leadership, accreditation, and organizational reporting needs.
  • 8. Provides functional leadership for international admissions processes, including I-20 eligibility review, financial documentation, credential evaluation, and related system integrations.
  • 9. Develops and maintains standardized admissions guidance, operating procedures, training resources, and internal controls to promote consistency, compliance, and operational continuity.
  • 10. Oversees applicant-facing digital operations and admissions content, including the Slate applicant portal, program webpages, communication templates, and related digital resources.
  • 11. Identifies operational needs and leads the development or implementation of technology-based solutions that improve workflows, applicant service, data accessibility, and program coordination.
  • 12. Leads recurring training and working sessions for graduate program personnel and other partners involved in admissions and enrollment processes.
  • 13. Supervises assigned staff and student employees, including work assignment, training, coaching, performance evaluation, and professional development.
  • 14. Represents OGS in cross-functional admissions and enrollment initiatives and serves as the principal point of accountability for graduate admissions operations.
  • 15. Oversees and coordinates OGS recruitment activities, conferences, information sessions, interviews, webinars, and other events supporting targeted enrollment goals.
  • 16. Collaborates closely with the PiBS Program Manager to ensure seamless execution of all admissions processes from applicant inquiry through enrollment, including support for the annual PiBS recruitment and interview days.
DEPARTMENT PREFERRED QUALIFICATIONS

Education: Bachelor's degree in a relevant field required.

Experience: Minimum five years of relevant experience required.

Knowledge, Skills and Abilities:

  • Advanced knowledge of graduate admissions, recruitment, enrollment management, and the applicant lifecycle from prospecting through matriculation.
  • Knowledge of admissions application systems and related platforms, and system integrations, including Slate.
  • Knowledge of data governance, data integrity, reconciliation, analytics, and reporting practices; familiarity with reporting and visualization tools such as Power BI.
  • Knowledge of international admissions processes, including I-20 eligibility documentation, financial documentation, and credential evaluation.
  • Ability to design, standardize, document, evaluate, and continuously improve complex operational processes and internal controls.
  • Ability to lead teams, supervise staff, delegate work, coach employees, and manage performance.
  • Ability to manage multiple complex projects and technology implementations in a fast-paced, changing environment.
  • Ability to analyze enrollment and operational data, assess effectiveness, and make well-supported recommendations.
  • Ability to establish productive partnerships and communicate effectively with academic leaders, program personnel, applicants, and University partners.
  • Knowledge of applicant-facing digital communications, web content, and communication-template management.
  • Knowledge of FERPA, University policies and procedures, confidentiality requirements, and other regulations applicable to admissions and enrollment.
  • Ability to communicate clearly and persuasively in oral and written form and to provide effective training and guidance.
