We have an exciting opportunity for an Executive Assistant position to support the Vice President of Communications and the dynamic Communications team at Qualcomm in San Diego, CA.
Ideal candidate strives for organization, is detail‑orientated, proactive, demonstrates problem solving, can deal with ambiguity and is an effective communicator. The role requires strong knowledge of Outlook, Teams, Word, Excel, and PowerPoint. Must maintain a high level of confidentiality and be willing to represent the team at large. The position requires onsite presence in San Diego, 5 days a week, and flexible work hours as needed.

Minimum Qualifications
- Bachelor’s degree and 2+ years of Administrative Assistant or related work experience.
- Associate’s degree and 4+ years of Administrative Assistant or related work experience.
- High School Diploma or equivalent and 6+ years of Administrative Assistant or related work experience.
- Completed advanced degrees in a relevant field may be substituted for up to two years of work experience (Master’s = one year, Doctorate = two years).
Preferred Qualifications
- Minimum 7 years of experience in administrative support for an executive leader.
- Minimum 4 years of experience in managing calendar, travel, expense reporting, and event logistics for executive/Vice President level staff, with global travel experience required.
- Demonstrated expertise in writing and verbal communications suitable for executive‑level interactions and advanced presentation development skills.
- Expert knowledge of Outlook, Teams, Word, Excel, and PowerPoint.
- Experience providing administrative support for a business unit or corporate functional leader within a large corporate environment.
- Post‑secondary education/coursework in marketing, communications, or business.
Responsibilities
- Manages Vice President’s calendar and appointments, resolves scheduling conflicts, coordinates with attendees, and provides reminders as needed.
- Organizes and coordinates internal and external meetings, managing detailed logistics.
- Develops agendas and rigor around agenda creation.
- Manages and maintains executive‑level contacts inside and outside the company.
- Creates travel plans and daily itineraries for VP and Directors, selecting accommodations in adherence to company travel policy and budget.
- Supports sponsored media and analyst travel needs.
- Manages expense reporting process for VP and Directors and helps obtain foreign visas and other travel documents.
- Reviews Vice President corporate cards regularly and supports closing gaps or issues discovered.
- Organizes team events or luncheons for the Vice President and Directors, including budgeting, vendor selection, and vendor management.
- Attends meetings as needed to participate in topics, capture clear action items, and publish notes.
- Develops processes to prioritize activities, proactively initiates tasks, and oversees items through completion.
- Prepares communications, facilitates presentations, and prepares agendas.
- Assists team with P‑card marketing purchases and some PO submissions.
- Assists with internal/external event support, including shipping and receiving, travel, and other admin event support.
- Coordinates team rewards and recognition and internal communication meetings.
- Facilitates large group meetings and team events—external, cross‑functional, and within the team.
- Develops and maintains professional, collaborative working relationships among internal teams, administrative exec staff, and external customers.
- Responds to inquiries from company executives, internal stakeholders, and external contacts in a timely manner.
- Manages ordering of office supplies and basic office needs for the organization.
- Provides a resource for navigating Qualcomm systems related to the administrative role and supports the team in solving business‑related problems.
- Supports a variety of operational programs (team training, onboarding, cross‑department communication, etc.).
- Provides back‑up admin support on occasion.
- Maintains discretion of highly confidential information.
Pay Range and Other Compensation & Benefits
$32.00 - $48.00 per hour. Qualcomm offers a competitive annual discretionary bonus program and opportunity for annual RSU grants. The benefits package supports success at work, at home, and at play.
