Job summary

VIS Group Inc in Lacey, WA is seeking an Assistant Community Manager to support HOA operations, coordinate communications with residents, manage documents, and assist the Community Manager.

You will work with a small team, handle correspondence, meeting logistics, and compliance inspections, while coordinating vendors and budgets to maintain community standards. This role requires strong organization, reliability, and willingness to travel within King, Pierce, and Thurston Counties.

Qualifications

  • Bachelor's degree preferred; experience with associations helps.
  • Strong written and verbal communication abilities.
  • Ability to travel to multiple counties.

Responsibilities

  • Provide administrative support to the Community Manager and respond to tickets, emails, and calls.
  • Prepare meeting packets and schedule meetings.
  • Attend Board and Association meetings as needed.
  • Ensure that work orders and repairs are scheduled and completed.
  • Process escrow requests, hardship requests, ACC requests, resale certifications.
  • Locate and coordinate vendor bids and support when needed.
  • Deliver exceptional customer service and other tasks as assigned.

About this position

Description:

OVERVIEW: HOA Management companies are responsible for a variety of tasks related to the maintenance and upkeep of a residential community. They are typically involved in drafting and enforcing community rules and regulations. An HOA manager facilitates disputes between neighbors in the community they manage as they relate to the HOA. For example, they may handle complaints about excessive noise, encroachment on property lines, or violation of rules. The HOA Manager is responsible for the general maintenance and upkeep of common areas in a community. They may retain a landscaping company to cut grass and care for plants and trees. An HOA management company also handles the financial matters of the HOA, including the collection of association fees from residents and drafting and maintaining the budget.

We have a need for a sharp reliable Assistant Community Manager who can assist the HOA manager in all these tasks. You will be a part of a small management team working closely with your assigned Manager. You will be the main point of contact for the homeowners who live in the associations in that portfolio as well as the admin support.

About Our Company: We are a growing community association management company, with communities all along the Puget Sound area and offices in Lacey and Bellevue, WA.

Job Location: Lacey, WA

Hours/Week: 40 hr

Starting Salary: $22-$26 per hour, DOE

Job Duties and Responsibilities:
  • Provide all administrative support to the Community Manager(s). Support includes, but is not limited to responding in a timely manner to customer tickets, emails, and phone calls in support of the assigned portfolio(s), preparation of meeting packets, scheduling meetings, association mailings, etc.
  • Conducts compliance inspections for clients.
  • Prepare for and periodically attend Board and Association meetings.
  • Ensure that association work orders and repairs are scheduled and completed as required
  • Process escrow requests, hardship requests, ACC Requests, resale certifications and other items as needed
  • Locate and coordinate vendor bids and support when needed
  • Provide other customer service support as needed
  • Any other administrative tasks as deemed appropriate in support of the Community Manager(s) portfolio(s)
Requirements:

Skills and Qualifications:

  • Excellent written and verbal communication skills
  • Excellent group presentation skills
  • Ability to interact with a variety of board members
  • Must be self-directed
  • High level of organizational and time management skills
  • Higher than typical knowledge of computers
  • Work well under pressure
  • Ability to travel to various locations in King, Pierce, and Thurston Counties
  • Knowledge of Caliber software is a plus

Education

Salary Information
