Responsibilities

  • Professionally manage and prioritize incoming calls, emails, and correspondence.
  • Serve as a primary point of contact for artists and support day-to-day booking needs.
  • Prepare estimates, deal memos, and other booking-related documentation.
  • Manage and update artist calendars, including holds, bookings and scheduling changes.
  • Oversee billing processes and support timely wrapping and reconciliation of jobs.
  • Coordinate travel arrangements and itineraries for the manager as needed.
  • Maintain schedules for artists and assistants during peak periods.
  • Assist with execution and tracking of special projects and strategic initiatives.
  • Prepare travel and entertainment expense reports accurately and timely.
  • Conduct industry, client, and competitive research to support proposals and business development efforts.
  • Support additional administrative duties as assigned.

The Role And What You’ll Do

The Assistant will be responsible for providing support to a business leader of The Wall Group in our New York office. Demonstrating independent judgment, as well as the ability to interface with senior level business leaders and their teams, the Assistant can anticipate problems and proactively identify solutions. The Assistant will also have the ability to effectively navigate the shifting needs and demands of the clients, senior business leaders and their teams.

  • Professionally manage and prioritize incoming calls, emails, and correspondence.
  • Serve as a primary point of contact for artists, maintaining consistent communication and supporting day‑to‑day booking needs.
  • Prepare estimates, deal memos, and other booking‑related documentation.
  • Manage and update artist calendars, including option holds, bookings, and scheduling changes.
  • Oversee billing processes and support the timely wrapping and reconciliation of jobs.
  • Coordinate and manage travel arrangements and itineraries for the manager as needed.
  • Maintain and coordinate schedules for both artists and assistants, particularly during peak periods such as awards and show seasons.
  • Assist with the execution and tracking of special projects and strategic initiatives.
  • Prepare and submit travel and entertainment expense reports accurately and in a timely manner.
  • Conduct industry, client, and competitive research to support presentations, proposals, and business development efforts.
  • Support additional administrative duties and special projects as assigned.
You Have These:
  • 1-2 years of professional experience required; experience within fashion, beauty, entertainment, media, or talent representation is strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to interact confidently and professionally with a diverse range of individuals via phone, email, and in person.
  • Exceptional organizational and time management skills, with the ability to prioritize multiple competing demands.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Experience supporting senior-level executives or business leaders preferred.
  • A proactive mindset with the ability to anticipate needs and stay ahead in a fast‑moving environment.
  • Strong problem‑solving skills and the ability to remain poised under pressure while meeting tight deadlines.
  • Demonstrated interest in fashion, beauty, media, entertainment, and talent representation.
  • Proficiency with Microsoft Office Suite, Google Workspace, and calendar management tools preferred.

Hiring pay rates are based on a number of factors, including location and may vary depending on job‑related qualifications, knowledge, skills and experience.
