Job Summary:

The Assistant Service Manager is responsible for selling and scheduling needed service work in the Service department.

Essential Duties and Responsibilities:
  • Follow the leadership of the Service Manager, maintain high customer satisfaction, and schedule service appointments.
  • Obtain customer and vehicle data prior to arrival when possible.
  • Handle telephone inquiries regarding appointments and work in process.
  • Engage with customers to understand their concerns, display empathy, and act politely.
  • Generate repair orders with all fields filled out, including signatures and emails.
  • Document all work sold, and have the Service Manager approve additional work and labor hours.
  • Review technician’s notes verifying the 3 C’s (Concern, Cause, Correction). Complete and file repair orders when jobs are finished.
  • Refer to service history, inspect vehicles, and recommend additional services.
  • Avoid overselling or high-pressure sales, and never sell unneeded repairs. Establish customer's payment method.
  • Obtain credit approval if needed.
  • Review diagnosis and recommendations with technicians; provide clear cost estimates.
  • Address customer concerns first, monitor repair progress, and keep customers informed.
  • Call customers when repairs are complete, review the repair order, and inform about store hours for pickup.
  • Assist customers during vehicle pickup, explaining the repair costs.
  • Handle customer payments via cash, check, or credit card.
  • Request customer satisfaction surveys, ensure vehicles are parked and keys stored properly, and keep department forms and pricing guides updated.
  • Complete all required training to maintain certifications.
Qualifications/Requirements:
  • Minimum one-year experience in dealership service writing and general sales experience. Knowledge of customer service principles.
  • Ability to build cooperative relationships with customers, vendors, and staff.
  • Strong computer skills, especially with dealership management systems, factory systems, and Excel.
  • Effective time management, prioritization, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to remain calm and effective in high-stress situations.
  • Willingness to travel for training and other needs.
  • Valid driver’s license and ability to operate manual transmission vehicles.
  • Maintain a professional appearance and manner.
