We are committed to providing outstanding service to our tenants, clients, and partners. We are currently seeking a dependable and professional Property Management Assistant / Front Desk to join our team. This is a full-time, in-office position ideal for a career-minded individual looking to grow within the commercial real estate and property management field.

Position Overview

This role provides essential support to the property management and leasing teams, helping ensure smooth day-to-day operations across our portfolio. You’ll serve as the first point of contact in the office and play a key role in maintaining our professional image while assisting with property-related tasks, tenant relations, vendor coordination, and administrative duties.

  • Greet and assist clients, tenants, and vendors with a professional, welcoming, and service-oriented approach
  • Provide administrative and operational support to the property management, leasing, and executive teams
  • Draft, edit, and manage documents including lease agreements, vendor contracts, tenant correspondence, and marketing materials
  • Track and manage vendor invoices, Certificates of Insurance (COIs), service requests, and overall tenant compliance
  • Maintain accurate and organized property records, both digital and hard copy, including lease abstracts and vendor documentation
  • Coordinate and schedule property inspections, meetings, and other property-related appointments
  • Answer, screen, and route calls using a multi-line phone system; manage incoming and outgoing mail and packages
  • Oversee day-to-day office operations, including ordering office and kitchen supplies and coordinating with vendors to ensure smooth functionality
  • Uphold strict confidentiality and demonstrate professionalism in all internal and external communications
  • Assist with special projects, reporting, and process improvement initiatives as needed
Qualifications
  • Desire to obtain Texas Real Estate License
  • 1+ year of relevant administrative, property management, or customer service experience (commercial real estate experience a plus) or real estate license
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with cloud-based file systems
  • Strong written and verbal communication skills with attention to detail
  • Highly organized and able to manage multiple priorities efficiently
  • Professional demeanor with excellent interpersonal skills
  • Self-motivated, dependable, and eager to learn and grow
  • Must Have a College Degree
Preferred Skills
  • Bilingual (English/Spanish)
  • Experience in commercial real estate or property management
  • Familiarity with software such as Buildout, Costar, or Dooploop
