The Assistant Property Manager is responsible for providing support in the day-to-day operations and administration of all aspects of property management for the commercial real estate portfolio. This individual will assist in ensuring properties are well-maintained, tenants are supported, and administrative tasks are efficiently handled. This involves responding to tenant calls and requests, tracking and coordinating responses to reported maintenance issues, coordinating with vendors, and assisting with lease administration. This position is also responsible for various accounts payable, administrative, and receptionist tasks. The ideal candidate has experience in commercial property management and is comfortable interacting with tenants, vendors, and internal teams.

Essential Duties and Responsibilities:

·Serve as a point of contact for tenant inquiries, maintenance requests, and lease compliance issues.

  • Respond to tenant calls and e-mails efficiently and effectively.
  • Coordinate tenant move-ins and move-outs.
  • Assist Operations Manager with tenant lease compliance communications, including notices and violation letters.

·Serve as a point of contact for vendor inquiries and compliance issues.

  • Respond to vendors calls and e-mails efficiently and effectively.
  • Maintain vendor files, including verification of vendor insurance compliance and tax ID.

Property Operations:

·Support Facilities and Maintenance Manager in obtaining bids and assist with bid and contract execution.

·Coordinate and schedule vendors for inspections, repairs, and construction.

·Assist Facilities and Maintenance Manager in coordinating and scheduling Maintenance Technicians for inspections, repairs, and upkeep.

  • Oversee flow of work orders, including creation of work orders and follow-up of work orders to verify satisfactory completion.
  • Maintain accurate property records, including service contracts, utility account information, infrastructure dates and information, and vendor insurance.
  • Support in preparation of annual budgets and reserve studies.
  • Assist in managing operating expenses in line with annual budgets and reserve studies.
  • Assist with maintenance invoice processing and expense tracking.
  • Schedule and prepare check and ACH payments to vendors, including resolution of invoice and payment discrepancies.
  • Answer general office phone line and monitor voicemail.

Compliance & Risk Management:

  • Ensure properties comply with local, state, and federal regulations.
  • Assist Facilities and Maintenance Manager in maintaining safety protocols and emergency response plans.
  • Work on special projects and perform additional duties as assigned

Education and Experience Required

·2+ years of experience in commercial property management, retail experience preferred.

  • Understanding of commercial property management, including rules and regulations.
  • Knowledge of lease terms, commercial property operations, vendor contracts, and budgeting.
  • Competency in MS Office, MS Excel, and relevant databases and software.
  • Experience with Appfolio or other property management software a plus.
  • Demonstrable customer service / tenant relations experience.
  • Strong organizational, time management, and interpersonal communicationskills.
  • Positive and proactive attitude.
  • Valid Driver’s License and personal insurance coverage pursuant to Company policies.

Physical Requirements:

·Prolonged periods sitting at a desk and/or working on a computer/tablet/smartphone.

·Reliable transportation for travel to and between facilities/properties

Job Type: Full-Time

Pay Range: Subject to experience and areas of expertise.
