Job description

Assists the Property Manager with the general administration of the property and performs related management functions with the daily operations of an apartment community. Cross-trained on Property Manager functions and acts in that capacity in the Manager's absence. Assists with maintaining the physical asset and the property's performance to achieve the highest possible net operating income. Monitors regulatory compliance and company policies related to property management.

Supports and ensures timely input, proper use, and full utilization of on-site PC-based property management software systems, including assistance in training new associates and ongoing training of existing staff.

Assists in managing the efficient operation of the property in accordance with Loss Prevention and Corporate policies, even during understaffed periods. Responds to emergency situations, contacting appropriate agencies or Regional Managers as necessary.

May prepare purchase orders, code and process vendor invoices, send documentation to Corporate Office, and follow up on vendor inquiries.

Maintains knowledge of maintenance programs to ensure proper operation of systems, preventive maintenance, housekeeping, and responses to resident maintenance requests. Prepares service orders and distributes them to appropriate staff. Follows up on maintenance requests and communicates delays to residents. Ensures completion of resident service requests.

Maintains knowledge of leasing policies and procedures, performs leasing and lease renewal functions, and ensures compliance with Corporate and Fair Housing policies. Meets with prospective residents, assesses their needs, conducts interviews, shows units and amenities, quotes rates and promotions, and follows up on rental inquiries. Collects application and rental funds.

Conducts move-in and move-out inspections, assesses damages, and ensures units meet quality standards. Performs interim inspections as needed.

Collects rent, verifies payments, deposits checks, and follows up on delinquencies, initiating eviction procedures if necessary.

Requirements:

  • High School Diploma / GED required.
  • Preferred: Associate Degree in Property Management or Accounting/Bookkeeping.
  • 1-2 years of experience in Leasing, Bookkeeping, or Operations.
  • Valid driver’s license may be required.
  • Skills: knowledge of fair housing laws, property management, Microsoft Office.
  • Preferred skills: affordable housing programs, One-Site software, customer service, follow-through, personal accountability.
  • Up to 10% travel required.
