Assistant Property Manager Position

The Vanderbilt YMCA is seeking an Assistant Property Manager. Under the direction of the Property Director, the Assistant Property Manager will assist with the overall management responsibilities of the cleaning, fire safety, HVAC, electrical, plumbing, and maintenance of the building and surrounding perimeters. The Assistant Property Manager will ensure a safe, clean work environment that meets YMCA, membership, and regulatory bodies' satisfaction. The Assistant Property Manager will effectively assist in supervision, evaluation, and training of maintenance and housekeeping staff. The Assistant Property Manager must be prepared to respond to emergency situations on a 24/7 basis.

Key Responsibilities
  • Assist Property Director in the development, implementation, management and evaluation of financial plan and budget.
  • Conduct periodic general preventive maintenance on the mechanical, electrical, HVAC, and plumbing systems. This involves normal lubrication, adjustment, cleaning, replacement of consumable parts (such as filters, indicator lights, chlorine, etc.) and periodic testing of equipment. These systems include, but are not limited to, air handling units (including rooftop, built-up units), recirculating air systems, water pumping, cooling plant and all plumbing system components.
  • Maintain and coordinate an effective Preventive Maintenance (PM) program.
  • Respond quickly to emergency situations. Able to respond 24/7.
  • Coordinate maintenance efforts with the outside contractors and technicians when work cannot be performed in-house. Coordinate contractor and management approvals for work that requires the use of an outside contractor. Maintain log on all work performed by outside vendors.
  • Troubleshoot, evaluate and recommend equipment/service upgrades.
  • Supervise and motivate cleaning and maintenance staff and assist Property Director with administrative tasks.
  • Responsible for reporting and documenting building observations by conducting building inspections.
  • Supervise community service workers and volunteers around specific building projects.
  • Work with Property Department Administrative Assistant to manage work order system and ensure work orders are being completed in a timely manner (within 24 hours) and at a high standard.
  • Manage building's lock and key system.
  • Oversee inventory and ordering of cleaning and maintenance supplies.
  • Be familiar with and conform to all written operating procedures associated with the branch.
  • Ensure storage areas are well organized, secure and safe.
  • Ensure preparation for weekly room schedule is adhered to by a staff.
  • Maintain proper certifications for facility management as required by the YMCA, regulatory bodies, Fire Safety Director, and other related certifications, including pool operator's certificate.
  • Assist Property Director in developing in-house training for fire safety, security, building maintenance, and product safety.
  • Ensure that the branch complies with all local, state and federal regulations. Log, monitor, supervise and/or conduct all required regulatory inspections.
  • Work cooperatively with Guest Room Services and other departments to ensure member and guest satisfaction.
  • Communicate in an effective and timely manner with the Property Director on all personnel or building matters.
Desired Skills & Qualifications
  • High School Diploma or equivalent required. Degree in facilities management or related field preferred.
  • At least 3 years' experience in property/facility operations. 5 years' experience preferred.
  • Building related certifications.
  • Project management experience preferred.
