Job summary

Vaco by Highspring is seeking an Assistant Property Manager to support a Portfolio Property Manager overseeing 8-9 condo and co‑op properties in New York City. This corporate, portfolio-based role acts as the right hand for managing administrative and operational tasks across multiple buildings.

You will coordinate alterations, move logistics, billing inquiries, Board matters, and documentation while ensuring deadlines and compliance are met. Onsite initially, then hybrid 3 days per week.

Qualifications

  • Approximately 3-5 years of relevant residential property management experience.
  • Prior experience supporting a portfolio of multiple condominium and/or cooperative properties.
  • Strong understanding of NYC condo/co‑op property administration.
  • Experience working with Boards, residents, alterations, compliance matters, and property documentation.
  • Highly organized with excellent follow-through and the ability to manage competing priorities.
  • Experience with Yardi, BuildingLink, and AvidXchange strongly preferred.

Responsibilities

  • Manage day-to-day administrative needs across multiple buildings simultaneously.
  • Coordinate apartment alteration documentation, approvals, deposits, and required sign-offs.
  • Maintain resident and property information within BuildingLink and other internal systems.
  • Assist with move coordination, amenity reservations, storage and bike room lists, gym memberships, and other resident-related requests.
  • Respond to resident billing questions and assist with chargebacks and account-related matters.
  • Complete bank, lender, and appraisal questionnaires.
  • Track compliance requirements, property deadlines, outstanding documentation, and follow-up items.
  • Prepare Board meeting notices, packages, reports, and supporting materials.
  • Assist with annual meeting coordination, attendance, election materials, and vote tabulation.
  • Support light accounts payable activity, including invoice processing, check requests, reimbursements, and AIA documentation.
  • Coordinate tax-abatement mailings and other property-specific correspondence.

Our client is seeking an Assistant Property Manager to support an experienced Portfolio Property Manager overseeing approximately 8-9 condominium and cooperative properties throughout New York City. Salary: $70K-$75K

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses and/or participation in medical, dental, and vision benefits as well as the company's retirement plan (or similar retirement benefits).
