Position Overview

We are seeking a highly organized, friendly, and technically savvy Assistant Property Manager (APM). We offer competitive pay and benefits for this exempt position. This role is based out of our Atlanta office.

The APM is responsible for addressing and resolving tenant issues and complaints, overseeing any necessary construction, and making recommendations to our Asset Management team. The role involves making decisions with a clear understanding of company policies, procedures, and all applicable State and Federal regulatory requirements. Responsibilities include answering tenant and vendor calls, dispatching work orders, assisting with management reports, preparing vendor contracts, processing invoices, and achieving business goals within established timelines.

Job Responsibilities:

Tenant and Vendor Relationships

  • Manage tenant and vendor relationships as a point of contact.
  • Address tenant inquiries and visit tenants as needed.
  • Manage preventative maintenance contracts for HVAC per tenant leases using Ravti/Building Engines.
  • Enter and track tenant service requests through Facility Manager, ensuring timely responses and work order closures.
  • Keep contact lists updated.
  • Communicate vendor work schedules.
  • Handle tenant move-ins and move-outs, including documentation.
  • Show vacant spaces as needed.

Finances and Reporting

  • Manage financial duties including reviewing, processing, and paying invoices timely; resolve past-due invoices in collaboration with corporate resources.
  • Process and approve expenditures accurately.
  • Ensure rents are paid, posted, and updated in Yardi; work on collections for overdue tenants, including negotiations like payment plans; document all efforts.
  • Assist in preparing the annual budget with the property management and leadership teams.
  • Reconcile and prepare monthly reports in collaboration with the team.

Compliance

  • Review vendor contracts, ensuring terms are within acceptable conditions, and execute contracts accordingly.
  • Manage vendor Certificates of Insurance to ensure full compliance.
  • Maintain a safe work environment for tenants and vendors.
  • Review and process legal tenant documents and lease-related correspondence using corporate templates.
  • Perform other duties as assigned.

Qualifications:

  • Bachelor’s degree in Business, Communications, or related field; or equivalent experience (3+ years).
  • Ability to resolve problems promptly and analyze information effectively.
  • Customer-focused with strong communication skills.
  • Experience with Yardi preferred but not essential.
