A leading company in property management is seeking a dedicated individual to assist property managers with the daily operations of retail shopping centers. The role involves managing vendor contracts, preparing financial reports, and ensuring tenant compliance with lease requirements. Ideal candidates will have prior experience in commercial real estate, strong organizational skills, and proficiency in Microsoft Office. This position offers an opportunity to contribute to maintaining exceptional property standards and maximizing net operating income.
Assist property managers in handling the day-to-day operations of retail shopping centers with goals of maintaining exceptional property standards, managing expenses, and maximizing NOI.
Support onboarding of new properties and the disposition process.
Send rent increase notices to tenants as required.
Coordinate with property managers to oversee remote technicians, third-party maintenance teams, vendors, and service providers.
Manage schedules for annual, quarterly, and seasonal services, including sprinkler and fire alarm testing, backflow testing, and irrigation maintenance.
Assist in preparing monthly financial and operational reports for properties.
Coordinate inspections with lenders and insurance providers, addressing any deficiencies.
Assist in compiling and filing annual service contracts.
Maintain sales reports database to ensure tenant lease compliance.
Review water invoices for discrepancies and collaborate with accounting on billing.
Prepare annual CPI increase letters for tenants and outparcels.
Monitor tenant compliance with lease requirements such as HVAC, plumbing, and grease traps.
Maintain tenant contact information and property records, including lockbox codes, vendor lists, and utility data.
Track certificates of insurance for vendors and tenants.
Manage vendor contracts from execution to filing.
Document bi-weekly inspections and report deficiencies.
Perform utility audits regularly.
Track bankruptcy proceedings and ensure proper application of funds.
Serve as backup for lease administration and property coordination roles.
Support property managers with projects, duties, and annual reconciliations.
