Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator job duties if there is no property administrator role on the team. The Assistant Property Manager will ensure a high level of professionalism and foster positive relationships with tenants and clients.

Responsibilities
  • Provide administrative support including phone support, reports, filing, and correspondence. Coordinate office supplies in absence of a property administrator.
  • Assist in lease administration, including abstracting leases and updating databases.
  • Maintain organized property files, including leases and contracts.
  • Prepare bid proposals and service contracts.
  • Obtain and follow up on aging reports and delinquencies per policies.
  • Process invoices with proper backup according to procedures.
  • Coordinate tenant move-ins and move-outs, including furniture logistics.
  • Oversee maintenance of work order and purchase order systems.
  • Develop and maintain tenant service programs and ensure tenant data is current.
  • Update office procedures in the Operations Manual.
  • Ensure Certificates of Insurance are current for tenants and vendors.
  • Review and approve staff hours, expense reports, and check requests.
  • Process tenant bill-backs timely.
  • Assist with budget preparation, financial reports, and bank deposits.
  • Conduct property inspections with service providers.
  • Oversee performance of service contractors.

Education & Experience
  • High school diploma/GED; Bachelor’s preferred
  • At least 1 year of property management or related experience

Work Environment & Physical Demands

Professional office setting; travel required between properties; physical ability to walk, stand, ascend stairs, and operate office equipment.
