Responsibilities
- Accept and accurately post rent and other payments in Yardi.
- Ensure residents are correctly set up to use online, electronic, and WIPS payment methods.
- Address late rent payments by following IPM policy, including distributing late notices and making personal calls and visits to delinquent residents to collect rent or determine payment dates.
- Inform residents of NSF checks within 24 hours of notification from accounting; post and follow-up on NSF checks within 48 hours.
- File evictions and dispossessory warrants in compliance with local statutes and company policy, including attending court dates.
- Walk all units within 24 hours of confirmed move-out date and perform move-out inspections in Yardi.
- Turn over bad debts for collection or process SURE deposits within 72 hours of move-out, and monitor collection reports for maximum recovery.
- Prepare month-end accounting reports as per owner’s requirements and company procedures.
Accounting Duties
- Utilize the property management software (Yardi) for posting rent and producing accurate AME reports.
- Process invoices for payment after approval, and monitor vendor compliance via Vendor Café and Vendor Shield.
- Review weekly budget comparisons to identify variances, missing invoices, and correct GL mistakes.
- Respond promptly to accounting inquiries and assist in monthly close-out processes.
- Process SODA's and submit to Regional Manager within three business days of move-out.
General Duties
- Answer incoming calls professionally as per Standardization Guide.
- Assist in leasing activities and resident relations, and support the monthly Renewal/Resident Retention Program.
- Perform pre-inspection walk with Service Manager 45 days prior to move-out.
- Ensure compliance with company policies and perform move-out checks, initiating make-ready processes within 24 hours.
- Monitor leasing team activity and complete utility logs.
- Enter service requests into Yardi and serve as backup Community Manager when needed.
Experience and Qualifications
- Minimum two years’ experience in multi-family apartment industry.
- Customer service experience, leasing, and collections preferred.
- High School Diploma or GED; additional training in sales/marketing is a plus.
- Proficient in MS Office Suite.
- Strong communication skills, positive attitude, and team-oriented mindset.
- Knowledge of social media is a plus.
