Qualifications
Six years of experience, including two at a supervisory level, in at least two of the following office services: property or space management, warehouse and inventory operations, purchasing, fleet or parking management, telecommunications, mail room operations, printing, or records management and retention.
Substitution:
- Associate’s degree can substitute for 2 years of experience
- Bachelor’s degree can substitute for 4 years of experience
- Master’s degree in a related field can substitute for 5 years of experience
- Doctorate in a related field can substitute for 6 years of experience
Responsibilities
- Oversee general building maintenance needs; respond to incident calls and complaints; deploy staff to resolve issues; provide overall direction to warehouse staff.
- Supervise warehouse staff; schedule daily job assignments and mail deliveries/pickups; prepare and review employee evaluations, probation reports, and attendance logs.
- Inspect incoming deliveries; authorize distribution and storage; facilitate space planning; coordinate loading/unloading; handle delivery of supplies, furniture, and equipment.
- Monitor inventory levels; approve supply requisitions; maintain logs; oversee physical inventory of supplies.
- Prepare purchase requisitions and order forms; restock supplies; ensure timely delivery of requests.
- Utilize the statewide financial system (SFS) for purchasing and accepting deliveries; operate facility vehicles and warehouse equipment; coordinate maintenance of fleet vehicles; maintain vehicle logs and reports.
- Service and provide minor repairs to automotive and mechanical equipment; oversee forklift training and certification.
- Research purchase options; negotiate pricing; recommend cost-effective acquisitions; follow procurement policies.
- Coordinate with building management for maintenance reviews; submit repair requests; adjust building temperatures.
- Respond to inquiries from staff, units, agencies, or external customers.
- Manage storage and disposition of old stock; schedule recycling pickups; maintain records; supervise subordinate staff and perform their duties if needed.
- Identify training needs for staff; ensure appropriate training.
- Perform manual labor as required; work overtime and travel up to 10%; adhere to departmental policies and procedures.
