The Assistant Membership Director strengthens member relationships, supports membership growth and retention, and actively solicits sponsorships for Chamber events and initiatives. Working under the Director of Membership, this position develops sponsor relationships, conducts member outreach, meets with prospective members, welcomes and connects event attendees, and serves as an emcee for assigned ribbon cuttings. The role advances the Chamber’s mission to Advocate, Connect, and Educate through responsive service, consistent follow-through, and professional community representation.
Member Engagement and Retention
- Conduct personalized check-ins with assigned members, prioritizing new members, upcoming renewals, less engaged members, and businesses requesting assistance.
- Identify business priorities, concerns, and opportunities; connect members with relevant programs, committees, educational resources, staff, and business contacts.
- Support onboarding and benefits education, help members navigate available opportunities, and coordinate directory or contact updates with the appropriate staff.
- Track member concerns through resolution and promptly refer service issues, renewal concerns, or requests outside the position’s authority to the Director of Membership.
Membership Recruitment
- Respond to prospective member inquiries and referrals, research business needs, schedule meetings, and maintain an organized prospect pipeline.
- Explain approved membership options, dues, and benefits accurately, matching opportunities to each prospect’s goals without guaranteeing referrals, sales, or publicity.
- Provide personalized meeting recaps, application information, and next steps; coordinate application processing and onboarding with authorized staff.
- Follow up consistently and professionally, document outcomes, and refer nonstandard pricing, terms, or commitments to the Director of Membership for approval.
Sponsorship Development and Solicitation
- Serve as an active solicitor of sponsorships for Chamber events, programs, and strategic initiatives, with responsibility for moving assigned opportunities from prospect identification through confirmed commitment and renewal.
- Build and maintain a sponsor pipeline that includes current members, past sponsors, prospective members, and other businesses whose goals align with Chamber opportunities. Research decision-makers, business priorities, giving cycles, and potential investment levels.
- Initiate outreach by phone, email, and in person; schedule sponsor meetings; present approved sponsorship packages; make direct requests for financial support; and follow up until a decision or agreed next step is recorded.
- Prepare personalized proposals using approved packages and benefits. Explain audience reach, business visibility, engagement opportunities, and community impact accurately, and recommend suitable event or initiative sponsorships.
- Secure and document commitments using approved agreements. Coordinate invoicing and payment follow-up with authorized staff; refer custom packages, discounts, exclusivity, and nonstandard promises to leadership before making a commitment.
- Coordinate with event and communications staff to track sponsor benefits, logos, deadlines, acknowledgments, and deliverables. Maintain sponsor relationships through timely thanks, post-event follow-up, feedback, and renewal outreach.
- Maintain accurate records of requests, proposed amounts, confirmed commitments, payment status, next steps, and renewals. Distinguish pending opportunities, confirmed commitments, and payments received in reports.
Networking Events and Ribbon Cuttings
- Prepare for assigned events by reviewing attendee information, identifying useful introductions, and confirming the approved agenda and staff role with the event lead.
- Welcome guests, engage first-time attendees, facilitate relevant introductions, and deliver approved Chamber remarks and sponsor recognition.
- Emcee assigned ribbon cuttings, prepare brief remarks and a run of show, verify names and titles, and coordinate speaker transitions and ceremony cues with the event lead.
- Respect municipal and other host organizations’ leadership of ceremonies; coordinate participation through the Chamber’s event lead.
- Arrive at assigned staff call times, remain available throughout the assigned shift, and share verified event details and follow-up needs with membership, event, and communications staff.
- Community Representation and Professional Conduct
- Represent the Chamber at designated partner meetings and community events with a clear understanding of the assignment, approved talking points, and expected follow-up.
- Represent the Chamber as a Committee and Leads Group liaison.
- Share relevant business feedback and partnership opportunities with the Director of Membership; refer policy positions, press inquiries, and sensitive matters to authorized leadership.
- Use Chamber time, member information, systems, introductions, and event access solely for Chamber purposes. Keep outside business promotion separate from Chamber responsibilities.
- Protect confidential information, disclose potential conflicts of interest, and seek direction before participating in decisions involving a personal or outside business interest.
- Provide courteous, inclusive service and follow Chamber policies and established reporting channels.
Records and Service Standards
- Maintain accurate CRM records of member and prospect interactions, needs, commitments, responsible staff, due dates, and next steps. Enter outreach and meeting notes on the same business day; log event contacts by the next business day.
- Acknowledge prospect inquiries within one business day and send prospect meeting recaps within one business day. Complete member and event follow-up within two business days unless another date is agreed.
- Review member outreach, sponsor and membership pipelines, and open commitments with the Director of Membership weekly. Submit a concise weekly report covering activity, sponsorship requests and revenue commitments, outcomes, outstanding items, and upcoming priorities.
- Work toward an initial benchmark of 15 substantive member contacts and at least two scheduled member or prospect meetings per week. Substantive contacts involve a completed two-way conversation or personalized exchange identifying a need or next step; unanswered attempts and mass emails are tracked separately. The Director of Membership may adjust benchmarks for event assignments, leave, or other priorities.
Qualifications and Skills
- Relevant experience in sponsorship solicitation, sales, business development, membership services, or a related field. Demonstrated ability to identify prospects, make direct sponsorship requests, and secure business commitments is strongly preferred. Chamber, association, nonprofit, or local business experience is preferred. An equivalent combination of education and relevant experience will be considered.
- Strong relationship-building, listening, writing, and public speaking skills, including comfort facilitating introductions and emceeing business events.
- Ability to present sponsorship value, tailor proposals to business goals, ask directly for financial support, handle objections professionally, and maintain consistent follow-up.
- Strong organization, attention to detail, discretion, and the ability to manage deadlines and coordinate with a small team.
- Proficiency with email, calendars, office applications, and CRM or membership databases, with a willingness to learn Chamber systems.
Work Expectations and Performance
- The position includes office work and attendance at meetings, networking events, and ribbon cuttings throughout Harford County. Early morning and evening assignments may be required. The employee must be able to travel to assigned locations and perform the essential functions of the role, with reasonable accommodation as appropriate.
- Performance is evaluated on sponsorship revenue secured against assigned goals, new and renewed sponsor commitments, sponsor satisfaction and fulfillment, member experience, quality and timeliness of follow-up, contributions to recruitment and retention, accuracy of records, effective event support, collaboration, and adherence to professional standards. Sponsorship targets and deadlines are established with Chamber leadership based on the event and initiative calendar. Other related duties may be assigned by Chamber leadership.
