Summary The Events and Membership Coordinator supports the successful execution of Chamber events and programs, as well as membership administration and engagement. This position provides administrative and logistical support for signature events and programs, coordinates member engagement activities and calendars, and manages dues invoicing and accounts receivable. The coordinator works closely with Chamber staff, members, sponsors and vendors to deliver organized, professional and valuable experiences for participants.
Duties and Responsibilities
- Assist with the planning and coordination of all signature events, the Leadership Jefferson program, and Young Professional committee meetings and events
- Support the planning and execution of events from preparation, day-of management, and post-event follow-up
- Facilitate with coordinating event logistics, vendors, sponsors, permits, promotional materials, and on-site needs
- Generate and email membership invoices monthly, process payments, track accounts receivable, and issue past-due notices
- Manage the Chamber’s online and internal event calendars, including member events and Hot Deal submissions, engagement events and ribbon cuttings
- Plan and coordinate Member Engagement events including Chamber Kickstart, Business & Breakfast and Business Card Exchanges
- Prepare new member welcome materials and renewal acknowledgments
- Update and maintain membership information in CRM software
- Prepare agendas, printed materials, and other program resources as needed
General Responsibilities
- Attend Chamber networking events
- Assist with and help manage Chamber functions on and off site
- Perform all other duties as assigned by the President
Qualifications
- Bachelor's degree preferred
- Excellent written and verbal communication and customer service skills
- Strong interpersonal skills required
- Ability to build/maintain relationships with Chamber members, team and the community
- Proficient in Microsoft Office (specifically Word, Excel and Power Point)
- Flexibility with schedule and ability to work events both during and outside of normal working hours is required
- Ability to work in a team environment and across many positions to achieve the goals of the organization as a whole
