The Assistant Manager of Engagement plays a key role in providing personalized service to Development, Museum Leadership, and Donors. This role involves coordinating engagement opportunities and processes and providing collaborative consultation on the best use of event-related resources and communications. Key responsibilities include supporting event plans and projects, overseeing event details, and ensuring transparent process and communication for events organized by the Development department through effective calendaring, communications, and research coordination.

Qualifications

EDUCATION AND EXPERIENCE:

  • Bachelor’s Degree or equivalent blend of education and experience required.
  • Candidate should have 1 to 3 years of combined experience and education that demonstrates an understanding and proficiency in event or project management, Development, and communication systems.
  • Experience in non-profit educational or cultural organizations is desirable.

Knowledge, Skills, Abilities

  • Must be proficient with Microsoft Suite products; experience with Raiser’s Edge Database, Tessitura, Asana, and Luminate software is desirable.
  • Demonstrated ability to maintain confidentiality and discretion. The ability to interact well with all levels of staff, community leaders, and the public is required.
  • Excellent time management skills and the ability to manage multiple assignments. Ability to prioritize tasks, manage multiple assignments at once, and work effectively within deadlines in a demanding environment.
  • Must have exemplary verbal and written communication skills; attention to detail is required.
  • A flexible schedule is necessary; Occasional evening and weekend work is required.

Physical Requirements

  • Work is primarily sedentary.
  • On occasion, movement for long periods and moderate lifting of up to 25 lbs. is required for events.

Core

Principal Accountabilities:

Manage assigned Development event operations including calendaring, event planning, event coordination, documenting processes and event requirements, writing, requesting research, and proofreading and editing lists and research. Responsible for alerting management to any issues that prevent adherence to expected schedules and for routine reporting tasks to measure performance.

  • Utilizes available and future tools to manage strategic scheduling, ensuring all records are kept up to date.
  • Coordinates and manages events; working with other departments to ensure cost-effective; professional and collaborative functions to provide enjoyable experiences for members and donors. This will include preparing invitation lists, ensuring completion of the invitation process, taking RSVPs; and communicating with other departments and museum components to ensure the best use of resources. Working at events as requested to provide support.
  • Supports Carnegie Museum's comprehensive campaign efforts from an events perspective.
  • Engage in planning discussions with Museum and Development departments to address event needs. Understand, explain and apply rules, regulations, policies, best practices, and procedures. Accurately analyze situations and determine the appropriate course of action.
  • Assists in the management of a menu of engagement opportunities that support all fundraising objectives and/or connect donors with the programmatic work of the four museums.

General

  • Champions the initiatives of Carnegie Museums and assigned components both internally and externally.
  • Assists in managing a portfolio of a wide variety of stewardship and cultivation events, overseeing all event planning and execution with the support of the Engagement Team.
  • Responsible for ensuring accurate record keeping in Raiser’s Edge Database and other CRM databases, filing systems, and other areas of documentation in capacity as assigned. Must respect the confidentiality of data and ensure ethical standards of the field are followed. Keeps information about processes and procedures current and stored in the appropriate location.
  • May assist in processing department invoices including the assignment of account numbers and tracking expenses to approved budgets. Monitors budgets as assigned and brings to the attention of management any areas of concern.
  • Contributes to comprehensive processes, procedures, and historical data surrounding Development related events.
  • Provides research on donors, prospects, best practices, and the industry as required. Compiles data to provide reporting and information as assigned.
  • Performs special projects and support as needed to meet the goals of the department.
  • Accomplishes responsibilities in a timely fashion with minimal supervision and meets established deadlines.
  • Contribute to the day-to-day overall team effort in Development in a spirit of collaboration and provide support to the development office as needed.

The following PA Act 153 clearances, or proof of application of clearances, are required beginning employment and as a condition of continued employment: Pennsylvania Child Abuse History Clearance Pennsylvania State Police Criminal Record Check FBI Fingerprint Criminal Background Check Obtaining the required clearances is completed as part of the new hire process.
