Roles & Responsibilities
1. Executive & Operational Assistance (Assisting the General Manager)
- Collaborate with the General Manager and Managing Trustee to translate organizational vision into actionable operational strategies.
- Supervise, guide, and evaluate a multidisciplinary team of 10+ employees, interns, and volunteers across programs.
- Monitor operational KPIs, project timelines, budgets, and deliver regular performance and operational dashboards to senior leadership.
- Oversee office administration, resource allocation, vendor relations, and overall operational governance.
- Represent the foundation in external engagements, donor meetings, CSR networks, and statutory interactions when required.
- Step in for operational problem-solving, risk mitigation, and policy enforcement across all departments.
2. Strategic Workforce Planning & Talent Acquisition
- Forecast manpower requirements across permanent staff, project leads, consultants, interns, and volunteers.
- Draft comprehensive Job Descriptions (JDs) and implement end-to-end recruitment strategies across social channels, job portals, and campus networks.
- Build strategic talent pipelines through academic institutions, NGO networks, and partner organizations.
- Conduct resume screening, HR interviews, background verification, salary negotiations, and offer rollouts.
3. Onboarding, Training & Exit Management
- Manage end-to-end onboarding, document verification, offer/appointment letters, and volunteer agreements.
- Conduct comprehensive orientation programs covering organizational values, policies, and Google Workspace/Zoho systems.
- Facilitate offboarding, exit interviews, asset clearance, and full-and-final (F&F) settlements, deriving actionable retention insights.
4. HR Operations, Payroll & HRMS Tech Management
- Oversee daily attendance, leave management, overtime tracking, and monthly payroll processing in coordination with the Finance/Accounts team.
- Maintain complete digital employee records utilizing Zoho One (Zoho People, Zoho Recruit, Zoho CRM) and Google Workspace.
- Implement technology-driven automation to streamline operational HR workflows and reporting.
5. Performance Management & Policy Compliance
- Design and implement organizational KPIs, probation reviews, and formal Performance Improvement Plans (PIPs).
- Draft, execute, and update HR policies, Standard Operating Procedures (SOPs), and employee handbooks in compliance with statutory standards.
- Ensure strict organizational compliance, workplace ethics, and total confidentiality of employee data.
6. Organizational Culture & Employee Engagement
- Act as a neutral sounding board to resolve workplace grievances and mitigate inter-departmental conflicts.
- Design employee recognition, team-building, and professional development programs to cultivate a high-performance culture.
Preferred candidate profile:
- Education: MBA in Human Resources, General Management, or Operations (Mandatory).
- Experience: Minimum 35 years of progressive experience in HR operations and team leadership/management.
- Industry Preference: Prior leadership experience in NGOs, social enterprises, CSR programs, or community development projects is strongly preferred.
- Leadership & Operations: Proven ability to manage teams of 10–20+ individuals, streamline operations, and monitor project deliverables.
- HR Generalist Expertise: End-to-end recruitment, contract drafting, PIP execution, and statutory HR policy implementation.
- Tech Proficiency: Advanced hands-on experience with Zoho One (Zoho Recruit, Zoho People), Google Workspace, ATS tools, and HR analytics.
- Communication & Negotiation: Exceptional interpersonal, stakeholder management, and conflict-resolution abilities.
- Adaptability: Willingness to travel across project sites as required for program implementation, monitoring, and team alignment.
