Qualifications

  • Bachelor’s degree in business administration, nonprofit management, social work, or equivalent experience.
  • Minimum of 5 years of experience in operations, program administration, or nonprofit management.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational and problem-solving skills with attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to manage multiple priorities in a trauma-informed environment.
  • Commitment to human rights, social justice, and equity.
  • Cultural humility and ability to work effectively with diverse populations.
  • Bilingual proficiency in a language other than English preferred.
  • Experience in human services, mental health, or immigrant/refugee support settings strongly preferred.

Responsibilities

  • Support development and implementation of organizational strategic planning and initiatives.
  • Provide leadership and support for special projects.
  • Oversee daily operations of MKC-New York, including facilities coordination, maintenance and repairs, vendor management, and administrative systems.
  • Manage inventory and procurement of supplies and equipment.
  • Maintain procurement compliance by securing competitive quotes and preparing documentation for purchases and services exceeding $10,000.
  • Assist with onboarding new staff, interns, and volunteers, including workspace setup.
  • Provide HR-specific operational support, including employee lifecycle processes, procedures, workflows, and communications.
  • Maintain accurate operational, HR, compliance, and program records.
  • Collaborate with program leadership and finance teams on budgets, expenditures, regulations, internal controls, and compliance.
  • Process invoices, expense reimbursements, credit card purchases, vendor wire transfers, and petty cash disbursements.
  • Create project cost centers and maintain donor database and internal file records.
  • Complete annual property tax exemption filings and maintain sales tax exemption status.
  • Support internal and external audits and coordinate requested documentation.
  • Update donor database, record donations, and generate donation reports.
  • Process independent contractor agreements through Zoho, including invoices and W-9 documentation.
  • Coordinate client transportation and interpreter services.
  • Liaise with HR, IT, and finance teams.
  • Contribute to continuous improvement and operational efficiency.
  • Uphold trauma-informed and culturally responsive practices.
  • May supervise staff, interns, or volunteers as operations grow.
