Position Overview

College Achieve Public Schools is seeking an organized, solutions-oriented Assistant Director of Operations to support the effective day-to-day operations of the school. Reporting to the Director of Operations, the Assistant Director helps coordinate and continuously improve operational systems that support students, staff, families, and the overall school community.

The Assistant Director of Operations supports multiple areas of school operations, including office management, facilities, technology, human resources processes, transportation, food services, inventory and asset management, and school events. The successful candidate will be a proactive problem solver who demonstrates strong organizational skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced school environment.

Key Responsibilities
School Operations

Support the Director of Operations in overseeing the day-to-day operational functions of the school.

Monitor operational systems and recommend improvements to standard operating procedures to increase efficiency and effectiveness.

Support the management of school vendors and service providers and assist in ensuring services are delivered effectively and in accordance with school expectations.

Collaborate with school leadership and main office staff to ensure operational needs are addressed promptly.

Monitor the completion of maintenance requests and work orders.

Assist with maintaining accurate operational records and completing required reports.

Facilities & Campus Management

Support the Director of Operations in maintaining a safe, clean, organized, and welcoming school environment.

Assist with facilities maintenance and coordination of custodial personnel and external vendors, including security, waste management, recycling, and other facility-related services.

Assist with maintaining applicable facilities and operational compliance requirements.

Coordinate or assist with obtaining required certificates, inspections, permits, and licenses, including sanitary inspections, health inspections, and retail food licenses.

Assist with preparing the campus for the opening of each school year, including coordinating furniture, equipment, classroom supplies, kitchen equipment, and other operational needs.

Support school leadership in ensuring an efficient and orderly end-of-year school closeout process.

Technology, Systems & Equipment

Support the effective use and maintenance of school technology, software, and operational systems.

Assist with maintaining accurate information in school systems, including PowerSchool and other operational platforms.

Support processes related to staff time-off requests, payroll information, school meal counts, and other assigned operational functions.

Help coordinate the maintenance and functionality of school equipment and technology, including telephone systems, copiers, student devices, and other office equipment.

Liaise with technology vendors and service providers to ensure equipment and systems are maintained and operational issues are resolved in a timely manner.

Transportation, Food Services & School Services

Support the effective coordination of student transportation and daily food service operations.

Assist with monitoring operational procedures related to meal service and required meal counts.

Collaborate with school staff and external vendors to address transportation, food service, and other operational concerns.

Support the planning and implementation of school-wide operational functions, including school pictures, yearbooks, and other student and family services.

Inventory & Resource Management

Monitor school supply and asset inventory in collaboration with main office staff.

Assist with ordering, receiving, organizing, and tracking school supplies, furniture, equipment, and other materials.

Help ensure school resources are available and appropriately distributed to support instructional and operational needs.

School Events & Community Support

Support the planning and successful execution of school events, including back-to-school nights, job fairs, field trips, parent-teacher conferences, graduation ceremonies, and other school activities.

Coordinate operational logistics to ensure events are appropriately staffed, supplied, and supported.

Work collaboratively with school leaders, teachers, staff, families, and external partners to support a positive school experience.

Required Qualifications

Bachelor's degree from an accredited college or university preferred.

Minimum of four (4) years of experience working in a school environment.

Experience supporting school operations, office management, facilities management, or a related operational function preferred.

Proficiency with Microsoft Office and Google Workspace.

Experience with or ability to quickly learn school-based technology and software systems, including student information and operational management systems.

Demonstrated ability to manage multiple responsibilities, prioritize effectively, and meet deadlines.

Strong written and verbal communication skills.

Ability to maintain confidentiality and exercise sound professional judgment.

Must pass a criminal history background check.

Competitive salary range: $70,000 - $90,000, commensurate with experience and qualifications.

Additional bonuses may include performance and retention incentives, as applicable.

Performance will be evaluated in accordance with College Achieve Public Schools policies and established performance expectations for the position.

Supervision

The Assistant Director of Operations reports directly to the Director of Operations and works collaboratively with school leadership, main office personnel, instructional staff, operational staff, vendors, and other members of the CAPS community.
