Our campus is located at 1601 Maple Street, Carrollton, GA 30118. Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary

The Assistant Director is responsible for most aspects related to the Housing Management Software System StarRez and will work in conjunction with Housing Facilities to manage the Room Condition Report workflow process. The Assistant Director is responsible for developing and implementing new strategies and technologies to create efficiencies and improve workflow across all levels of Housing and Residence Life. This position is also responsible for the management and communication of the service animal documentation and ADA accommodations process. Serves in various departmental, divisional, and campus wide committees and work groups is expected as needed. This position calls for a positive, self-motivated, detail-oriented person with excellent interpersonal communication skills who is willing to work in a fast-paced environment that requires strong emphasis on providing superior customer service. This position will also serve in an after-hours and weekend on-call rotation.

Responsibilities

1. MANAGEMENT & LEADERSHIP: The Assistant Director of Housing Administration provides leadership, management, Duties 1 training and supervision for the Central Housing Office operations staff. This position will have oversight and leadership for the Housing software management system (StarRez), occupancy management, customer service, assignment, billing, room configuration, reporting, process communication, exemptions and accommodation process for the department. This position will oversee contract updates/changes, assignment processes for all residential spaces for residents and guest groups, contract cancellations, room transfers, exemption requests, and consolidations. The Assistant Director serves as the non-voting chair of the Cancellation and Charges Appeal Committee and controls the flow and access to sensitive personal student information regarding student appeals. This position will analyze and disseminate reports and data for purposes of assessment, short and long term planning, and monitor occupancy trends.
2. SUPERVISION: This position supervises two full-time assignments coordinators and one graduate student. The incumbent will be responsible for meeting weekly with direct reports, providing consistent performance feedback, identifying and supporting opportunities for professional development, and completing the University's annual review process. This position is responsible for holding their direct reports accountable for their performance and determine if staff are meeting expectations outlined for the scope of their work.
3. OCCUPANCY MANAGEMENT: In addition to the day-to-day job responsibilities, this position will work closely with the Director of Housing and Residence Life to assess occupancy on a weekly basis, prepare reports for divisional and University leadership, and assist with the 5 year business plan for the department. The incumbent will also be responsible for researching off-campus market rates, USG rental rate comparisons, and coordinate professional market study analysis on a 3-5 year basis. This position will work with the HRL Director to develop housing occupancy projections based on anticipate University enrollment.
4. HOUSING SOFTWARE MANAGEMENT: This position will understand and integrate the Housing software system (StarRez) and existing University information management systems to coordinate all contract and assignment processes. The incumbent will work collaboratively to manage the Housing software system and be responsible for learning about and navigating contract logic, coordination with campus partners for data feeding and receipt, auditing generated reports and user access to the system, and problem-solving issues with the StarRez software.

Required Qualifications

• Educational Requirements: Master's Degree
• Required Experience: 3 years full-time Housing or Residence Life experience and experience in a supervisory position. Management and knowledge of occupancy management, excellent customer service, and Candidate will have demonstrated back-end and customer facing experience with the third-party housing software solutions or systems.

Preferred Qualifications

• Preferred Educational Qualifications: Master's Degree
• Preferred Experience: Five (5) years of administrative and managerial support experience. Knowledge of Star Rez Database Software and Housing departmental policies, procedures, and organizational relationships.

Proposed Salary

$50,400 - $65,000 yearly salary. Paid on a monthly basis.

Responsible for the department's day-to-day $18 million revenue collection management. Primarily making certain that all entries and financial analysis are accurate and timely.

Prepare management's discussion, analysis, and recommendations for Occupancy and Revenue related data as requested by other departments, including quarterly and annual financial reporting for presentation to Division of Administration and Finance.
