Indiana University Bloomington is seeking an Assistant Director for the 21st Century Scholars program. This role plans activities to support retention and timely degree completion, and coordinates orientation and advising events for first-year through senior students.

You will meet with high schoolers, families, and campus partners to explain scholarship opportunities, manage program logistics, and ensure records confidentiality using SIS and related systems.

Qualifications

Job Summary

Department Specific Responsibilities

  • Assists the 21st Century Scholars program director with theplanning and coordination of activities that support retention andtimely degree completion, promotion of academic achievement in theclassroom, and outreach.
  • Meets with prospective students and families in high schoolsvia college fairs, on-campus site visits, Scholar specific events,and off-campus designated events.
  • Shares and explains the available opportunities providedthrough the Indiana University 21st Century Scholars Program.
  • Assists with the planning and coordination of variousactivities that aid in college transition of first year students,such as New Student Orientation coordination and planning withUniversity Division, coordination annual Freshman, Sophomore,Junior, and Senior orientation sessions, interfacing with otherdepartment programs ensuring communication and records maintenance,and attending scholarship banquets.
  • Managse and communicate space and setup specifications,hospitality, and other logistics for program activities.
  • Uses the Student Information System (SIS) and other datasystems to access confidential student records in supportinginitiatives and programming as assigned by the director.
  • Ensures compliance with university policy, departmentalguidelines, and state and federal regulations.
  • Attends meetings with campus stakeholders, assist with thedevelopment of various programs and operational materials used forpromotion, outreach, and training. Interface with other IndianaUniversity offices.
  • Attends conferences organized by the Indiana Commission forHigher Education (ICHE) and other associations and groups.
  • Executes all project coordination tasks needed resulting fromthe management's final decision about the project implementation.Use sound judgement and decision-making skills when completing theassigned tasks and must identify other tasks needed to successfullycomplete the project coordination duty.
  • Program promotions among academic departments and the advisingcommunity. Responsible for the creation and designing ofpresentations to train partners in processes, protocol, andinformation regarding the 21st Century Scholars Programadvising.
  • Represents the Director at meetings that he cannot attend orare determined to be necessary for the role (Bloomington AcademicAdvising Council (BAAC) Steering Committee, Directors of Advisingand Hoosier Link 21st Century Scholar Advising). These meetings orpresentations may call for the creation of materials, andpublications. Responsibilities include providing advisingcontributions to the newsletter; information gathering for the 21stCentury Scholars staff from various university departments andother entities for the knowledge base of the program.
  • Assists with outreach with community events.
  • Assists the director with long and short-term planning.
  • Serves as a resource person for staff development needs andcompilation of advising reports.
  • Researches and analyzes data related to advising outcomes,gathers information about similar programs, and models advisingtechniques based around best practices with the director. Workstogether with the director in identifying the survey needs relatedto advising and advising services.
  • Reviews, analyzes, and assesses survey data received todetermine trends and needs for future survey evaluations. Findings,thoughts, ideas, and other are communicated to the director.
  • Assists the Director with Academic Advisors programs and eventsassessment. Requires use of IU Qualtrics, IU AdRx, SIS, ScholarTrack, and other programs. Maintains confidentiality in accordancewith university and OVPDEMA guidelines and Family Education Rightsand Privacy Act (FERPA).
  • May attend ICHE Meetings and Trainings to effectively serve inthis roll.
  • The Assistant Director will have a selected group of studentsto develop programming.
  • Provides STEM program coordination for 21st CenturyScholars.
  • Provides recruitment for academic and leadershipopportunities.
  • Provides referrals to appropriate campus resources orservices.
  • Meets with 21st Century Scholars that were direct admits orother program participants that need scholarship services.
  • Co-supervises Academic Advisors and supervise assigned internsand hourly students associated with responsibilities asdirected.
General Responsibilities
  • Develops and implements programs and initiatives geared atenhancing and reinforcing the academic engagement and experientiallearning capacity of the student experience. Projects programmingoutcomes at the program, department/division, or campus level.
  • Interfaces directly with students, attending studentprogramming events and gathering satisfaction feedback from studentparticipants to implement into future student programminginitiatives and objectives.
  • Collaborates with staff in own department and otherdepartments, as well as academic and campus leaders, on sharedstudent programming goals, often coordinating funding to sponsorstudent programs.
  • Measures and evaluates effectiveness of student programsagainst projected outcomes; regularly prepares reports on impact tostudents and budget and may present to stakeholders oneffectiveness and to secure funding for initiatives movingforward.
  • Serves on committees and performs student programming researchacross the field of higher education and at peer institutions toidentify and recommend best practices.
  • Plans and coordinates communications for student programminginitiatives to ensure student participation and inclusion.
  • May provide guidance to other Student Programming Specialists;makes process recommendations to manager for improved delivery ofservice.
Qualifications

EDUCATION
Required
  • Bachelor's degree in education, social work, public affairs,counseling, business, or related field.
Preferred
  • Master's degree in higher education, student affairs, orrelated field.

Working Conditions / Demands

This role requires the ability to effectively communicate and tooperate a computer and other standard office productivityequipment. The position involves sedentary work as well as periodsof time moving around an office environment and the campus. Theperson in this role must be able to perform the essential functionswith or without an accommodation.

Advertised Salary

Up to $55,000.00 on an annualized basis.

Work Hours

Standard hours for this position are Monday - Friday, 8:00am -5:00pm with occasional evenings and weekends.
