Position Summary
The Assistant Business Office Manager (ABOM) supports the Business Office Manager in the daily financial and administrative operations of the skilled nursing facility. This position assists with resident billing, accounts receivable, collections, Medicaid pending accounts, resident trust funds, census reconciliation, and other business office functions.
The ABOM works closely with residents, families, facility leadership, Admissions, Nursing, and third-party payers to promote accurate billing, timely collections, proper documentation, and compliance with facility policies and applicable state and federal requirements.

Assist the Business Office Manager with the daily operation of the facility business office.
Assist with billing and accounts receivable processes for Medicare, Medicaid, Managed Care, commercial insurance, private pay, and other payer sources.
Review resident accounts for accuracy and assist with identifying and resolving outstanding balances or billing discrepancies.
Assist with collection efforts, including communicating with residents, responsible parties, insurance companies, and other payers regarding outstanding balances.
Monitor accounts receivable aging and follow up on assigned outstanding accounts.
Assist with Medicaid Pending accounts and maintain appropriate documentation regarding application status and required follow-up.
Work with residents and responsible parties to obtain financial documentation necessary for Medicaid eligibility and other payer requirements.
Assist with tracking resident payer sources and changes in payer status.
Maintain accurate financial records and documentation for resident accounts.
Assist with daily census verification and reconciliation in coordination with Admissions and other departments.
Assist with resident trust fund transactions, reconciliations, withdrawals, deposits, and required documentation in accordance with applicable requirements and facility policy.
Assist with facility deposits, cash receipts, petty cash, and other financial transactions as assigned.
Post payments and adjustments accurately and timely.
Assist with accounts payable functions when assigned.
Review resident financial information at admission and assist residents and responsible parties with questions regarding billing and payment responsibilities.
Maintain confidentiality of resident, employee, and financial information.
Assist with month-end business office processes, reconciliations, reports, and account reviews.
Maintain organized and accurate business office files and records.
Participate in accounts receivable, utilization review, census, or other facility meetings as assigned.
Communicate potential payer, authorization, eligibility, or collection concerns promptly to the Business Office Manager and Administrator.
Provide professional and courteous assistance to residents, families, visitors, vendors, and staff.
Serve as backup to the Business Office Manager for designated duties when necessary.
Follow facility policies and procedures as well as applicable federal, state, and local requirements.
Perform other duties as assigned by the Business Office Manager or Administrator.
High school diploma or equivalent required.
Associate degree in Business Administration, Accounting, Healthcare Administration, or a related field preferred.
Previous business office, billing, accounts receivable, collections, or healthcare administrative experience preferred.
Skilled nursing facility or long-term care business office experience strongly preferred.
Knowledge of Medicare, Medicaid, Managed Care, private pay, and third-party insurance billing preferred.
Experience with Medicaid Pending applications and long-term care Medicaid processes preferred.
Basic knowledge of accounting, bookkeeping, accounts receivable, and reconciliation procedures.
Proficiency with Microsoft Office, including Excel, Outlook, and Word.
Experience with electronic health record, billing, or financial management systems used in long-term care preferred.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Ability to prioritize multiple responsibilities and meet established deadlines.
Strong written and verbal communication skills.
Ability to communicate professionally with residents, families, responsible parties, insurance representatives, and facility staff.
Strong problem-solving and follow-up skills.
Ability to work independently while functioning effectively as part of an interdisciplinary team.
Ability to handle sensitive financial and resident information with discretion and confidentiality.
Working knowledge of healthcare billing and collection practices.
Ability to learn and apply facility policies and applicable regulatory requirements.
The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. The Assistant Business Office Manager is expected to perform all duties in accordance with facility policies and procedures, resident rights, HIPAA requirements, and applicable federal and Florida requirements governing skilled nursing facilities.
