Key Responsibilities
Business Office Responsibilities
- Manage resident accounts and business office operations as the Business Office Manager
- Handle collections and accounts receivable, ensuring timely follow-up on outstanding balances
- Coordinate billing and payment processes including Medicare, Medicaid, Managed Care, and Private Pay
- Maintain and track Medicaid Pending cases and follow up for approval and reimbursement
- Manage resident trust accounts, including accurate tracking, deposits, and disbursements
- Work closely with the Central Billing Office to resolve claims, denials, and payment issues
- Maintain accurate financial records, census data, and required reports
- Assist residents and families with billing questions, statements, and financial documentation
- Ensure compliance with all federal, state, and facility financial policies and procedures
Human Resources Responsibilities
- Support recruitment, interviewing, and hiring for facility positions
- Coordinate the new hire onboarding process, including paperwork, orientation, and required documentation
- Maintain accurate and confidential employee records and human resources documentation
- Coordinate reference checks, background screenings, and pre-employment requirements
- Assist employees with questions regarding benefits, compensation, policies, and employment procedures
- Support employee relations by responding to employee questions and escalating concerns when appropriate
- Assist with maintaining compliance with federal, state, and local employment requirements
- Partner with department leaders regarding staffing needs, open positions, and workforce planning
- Assist with employee engagement, training, safety, and retention initiatives
- Maintain confidentiality of sensitive employee and business information
- Perform other business office and human resources duties as assigned
Qualifications
- Previous experience in a Business Office Manager, healthcare billing, or similar administrative role preferred
- Long-term care or skilled nursing experience preferred
- Previous Human Resources experience required
- Strong knowledge of Medicare, Medicaid, Managed Care, insurance billing, and Medicaid Pending processes preferred
- Experience with collections and accounts receivable preferred
- Experience with resident trust accounts preferred
- Knowledge of HR practices, employee records, onboarding, and employment compliance preferred
- Strong organizational, communication, and problem-solving skills
- Proficiency with Microsoft Office, including Excel, and experience with healthcare or HR information systems preferred
- Ability to handle confidential financial and employee information with professionalism and discretion
- Ability to manage multiple priorities in a fast-paced healthcare environment
- Strong attention to detail and follow-through
