Job summary

Black Flower Agency, a NYC-based experiential marketing and events agency, seeks an Assistant Account Executive with strong organization and hospitality experience. The role supports loyalty programs and luxury client activations across sports, fashion, art, and lifestyle sectors.

The position involves event planning, vendor coordination, budgeting, and on-site execution with occasional evenings and travel. Hybrid work in NYC area, salary $50,000–$55,000 annually based on experience and skills.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Hospitality, Event Management, or related field preferred.
  • 1–2+ years experience in experiential marketing, events, hospitality, or agency operations.
  • Strong internship experience may be considered in lieu of professional experience.
  • Experience coordinating multiple projects, deadlines, vendors, and stakeholders in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Conversational proficiency in additional languages is a plus.

Responsibilities

  • Manage event workstreams and marketing initiatives for high-end experiential and hospitality events.
  • Support internal team with agendas, recap notes, client reports, and status updates.
  • Own assigned event workstreams, assess priorities, and manage risks to meet objectives.
  • Analyze event performance metrics and propose improvements for future activations.
  • Develop project plans and event documentation, identify risks and align with client objectives.
  • Oversee marketing submission/approval processes ensuring brand compliance.
  • Manage vendor relationships and service delivery for event execution.
  • Understand brand rules and regulatory requirements.
  • Participate in client calls and meetings as needed.
  • Monitor budgets, track spending, and suggest corrective actions.
  • Lead on-site event responsibilities and real-time problem solving.
  • Research industry trends to enhance client experience and program performance.
  • Collaborate across agency teams and build internal/external relationships.
  • Oversee inventory, shipping, logistics, and office/event operations.

Job description

Black Flower Agency, a NYC-based experiential marketing and events agency, and a key United States business unit of global company MCI Group (www.mci-group.com), is interviewing highly organized, energetic and self-starting candidates with a strong understanding of marketing, hospitality, events, and the luxury lifestyle sector to fulfill an Assistant Account Executive role.

This position will work with a team that delivers on a loyalty program that provides exclusive premium experiences to VIP consumers in various verticals including sports, entertainment, fashion, art, and lifestyle. Additionally, the role may assist on luxury hospitality event and logistics management at large-scale luxury client activations, as well as support in general administrative and office duty tasks. #LI-Hybrid

COMPENSATION: $50,000-55,000 annually, based on relevant experience and skills.

MAIN RESPONSIBILITIES

  • Manage assigned event workstreams and marketing initiatives for high-end experiential and hospitality events, including, but not limited to, research, venue sourcing, vendor management, collateral development, creative submissions, production schedules, guest list management, ticketing, shipping + supply management, onsite execution, data collection, and post-event reporting
  • Drive day-to-day support (event/administrative) to internal team as needed, including but not limited to crafting meeting agendas and recap notes, client reports, daily event sales tracking, weekly status reports, agency newsletters, and deliverables trackers
  • Serve as the day-to-day owner of assigned event workstreams, evaluating priorities, identifying risks, and recommending solutions to maintain project objectives, timelines, and client expectations
  • Analyze event performance metrics and prepare recommendations for future activations, operational improvements, and guest engagement strategies
  • Develop and manage project plans and event documentation while identifying risks, recommending solutions, and ensuring alignment with client objectives
  • Manage assigned marketing submission and approval processes, interpreting brand standards and regulatory requirements to ensure compliance and successful execution
  • Manage relationships with assigned vendors and external partners, evaluating options, resolving issues, and making recommendations regarding service delivery and event execution.
  • Gain a thorough understanding of brand rules and regulations
  • Participate on client conference calls and in-person client meetings, when needed
  • Monitor assigned project budgets, analyze spending against plan, identify variances, and recommend corrective actions to support financial objectives
  • Manage project approval workflows and business processes, ensuring compliance with client requirements, internal standards, and established timelines
  • Lead assigned event responsibilities on-site, resolving issues and making real-time operational decisions to support successful event delivery
  • Research industry trends and develop recommendations to improve client experiences, operational effectiveness, and marketing program performance
  • Collaborate across multidisciplinary agency teams, participate in meetings, and build strong internal and external relationships
  • Oversee office and event supply inventory, shipping, logistics, and organizational processes to support successful agency operations and event execution.
  • All other duties as assigned

JOB REQUIREMENTS

  • Bachelor’s degree in Marketing, Communications, Hospitality, Event Management, Business, or a related field preferred
  • 1-2+ years of relevant experience in experiential marketing, events, hospitality, marketing, agency operations, or a related field.
  • Strong internship experience may be considered in lieu of professional experience.
  • Experience coordinating multiple projects, deadlines, vendors, and stakeholders in a fast-paced environment.
  • Customer service, hospitality, or client-facing experience preferred.
  • Ability to work occasional evenings, weekends, and travel as required to support events.
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Experience with project management, event management, or collaboration tools is a plus.
  • Conversational proficiency in additional languages is a plus.

PROFESSIONAL AND LEADERSHIP COMPETENCIES

  • Must be based in the New York City or Tri-State areas (role is in office Monday - Thursday, and remote on Friday).
  • Ability to travel (domestically and internationally) and work nights and weekend events as needed
