Job summary

Socket.dev in Seattle is seeking a Project Coordinator to provide general administrative support to the project team on construction projects. You will coordinate meetings, handle documentation, and assist with correspondence, reports, and filing.

The role requires a 4-year degree (preferred) and at least two years in a fast-paced office; experience with construction management software and MS Office is essential. Sponsorship may be considered.

Qualifications

  • 4-year degree preferred and two years of administrative experience in a fast-paced office environment.
  • Experience with construction management programs and/or on a construction job site.
  • Excellent verbal and written communication; strong organizational skills and attention to detail.
  • Ability to meet deadlines in a high-paced environment; familiarity with project recordkeeping.

Responsibilities

  • Logging and processing submittals, RFIs and other project documentation.
  • Provide general administrative support to the Project Team including correspondence processing and filing.
  • Coordinate schedules of the project team for meetings and training as needed.
  • Assist with research, prepare statistical reports, and handle information requests.
  • Prepare written materials during construction for document control; review and edit project documents.
  • Prepare and document meeting minutes; assist in processing pay applications.
  • Enter project data into the program management software system; communicate with PMs and consultants.

Position: Project Coordinator

Reports To: Senior Architect/Project Manager

Classification: Non-Exempt

Summary

Project Coordinator - is responsible to provide general administrative support to the Project Team for a variety of projects.

Essential Functions
  • Working with construction management software
  • Logging and processing submittals, RFI and other project documentation
  • Provides general administrative support to the Project Team including correspondence processing, distribution, and routine filing.
  • Coordinate schedules of project team for meetings and training as needed.
  • Provide administrative support such as conducting research, assisting on the preparation statistical reports, and handling information requests.
  • Assists project team in preparing written materials including applications, correspondence, reports, procedures, forms, and guidelines during construction for better document control
  • Review, proofread, and edit project related documents
  • Preparing and documenting meeting minutes as needed
  • Assists processing pay applications
  • Enters project data into program management software system.
  • Communicate with project manager, construction administrator and professional consultants as needed
  • Familiar with construction/ project close out process

Work Environment

This position operates in a professional open office environment with low to moderate noise levels including collaborative work areas for team meetings. Each office provides collaborative work areas and shared resources such as video conferencing, printing/scanning, and a café for dining. Building construction site visits commonly include outdoor conditions with varying temperatures, rain, wind, dust, and noise levels and will require familiarity with construction job site safety protocol. Construction site conditions may include walking across uneven surfaces, climbing stairs and ladders.

Physical Demands
  • Hand/Wrist/Finger dexterity for 8 hours a day, 40 hours a week
  • Ability to lift a set of construction documents
  • Ability to sit for long periods of time
  • Ability to traverse a construction site with uneven surfaces and different levels
Position Type/Hours expected to work
  • This is a full-time position with a minimum expectation of 40 hours per week
Travel
  • Occasional travel
Required Education and Experience
  • 4-year degree from an accredited college or university preferred
  • A minimum of two years of administrative experience in a fast-paced office environment
