Job summary

Queens Harbour Yacht & Country Club Owners Association in Jacksonville, FL is seeking an Architectural Review Coordinator to manage ARB applications, ensure compliance with governing documents, and provide exceptional service to homeowners, contractors, and Board members.

This role oversees ARB processes, conducts site inspections, attends two evening ARB meetings monthly, prepares materials, and maintains records while coordinating with the management team and vendors.

Qualifications

• Minimum of one (1) year of experience in architectural review, HOA or condominium architectural control, community association management, construction administration, planning, or a related field.
• Strong understanding of architectural review processes, construction plans, and residential improvement projects.
• Excellent organizational, documentation, and recordkeeping skills.
• Exceptional attention to detail.
• Strong written and verbal communication skills.
• Ability to interpret governing documents, architectural guidelines, and design standards.
• Proficiency with Microsoft Outlook, Word, Excel, Adobe PDF, and other standard office software.
• Ability to effectively manage multiple priorities while meeting deadlines.
• Outstanding customer service and interpersonal skills.

Responsibilities

• Manage the ARB application process from submission through final approval.
• Review applications for completeness and compliance with documents and standards.
• Communicate requirements, approvals, denials, and revisions to stakeholders.
• Prepare meeting agendas, packets, and documentation for ARB meetings.
• Attend two evening ARB meetings each month, record minutes, and communicate Board decisions.
• Maintain organized records of applications, approvals, denials, correspondence, and variances.
• Conduct site inspections before and after approvals to verify compliance.
• Monitor approved projects for adherence to standards and conditions.
• Assist homeowners in understanding guidelines and procedures.
• Coordinate with the Community Association Manager, Board, counsel, consultants, and vendors.
