Job summary

Alpha Paving Industries seeks an Accounts Receivable Specialist to maintain accurate AR records, enter payments, and resolve billing issues with customers and management. You will work on invoicing, discrepancies, and billing documentation in a fast-paced environment.

The ideal candidate has at least one year in AR, strong data entry, proficiency with accounting software (QuickBooks or similar), and excellent communication and organizational skills.

Qualifications

• Must have 1+ year in accounts receivable or similar role.
• Knowledge of corporate accounting principles and practices.
• Proficiency with accounting software such as QuickBooks or similar programs.
• Strong attention to detail and ability to analyze financial data.
• Excellent written and verbal communication skills.
• Able to negotiate payment terms with customers when necessary.

Responsibilities

• Process high-volume billings accurately and in a timely manner.
• Review and verify billing data, PO and contracts for accuracy before invoicing.
• Organize and update digital records.
• Update and retain customer account information related to billing conditions and tax status.
• Coordinate with Project Managers to establish billing timing and procedures.
• Prepare payment requisitions for projects using AIA pay app formats.
• Remind customers about upcoming payments and follow up weekly.
• Resolve receivable issues with project managers and customers.
• Process invoice credits as needed.
• Keep accurate records of payments received from customers.
• Record deposits to company bank accounts.
• Maintain billing log and retainage billing at end of project.
• Create reports for managers as requested.
• Ensure project records are complete and accurate.
