Qualifications

• 3+ years of accounting experience with billing and accounts receivable; accounts payable experience preferred, and payroll exposure a plus.

Responsibilities

• Generate and issue invoices accurately and on time; including standard product shipments, milestone billings, and change orders.
• Apply customer and vendor payments (checks, ACH, wire transfers, credit card) to correct invoices and accounts.
• Monitor AR aging and follow up with customers and project managers on past-due balances.
• Reconcile customer accounts; resolve billing discrepancies and short payments with sales/project management.
• Prepare AR aging reports, cash receipts summaries, and collection status updates for management.
• Coordinate shipment dates and billing triggers with sales/operations; assist with month-end close for AR.
• Process vendor invoices; ensure three-way match with PO and receiving docs; code to GL/cost centers.
• Maintain vendor files (W-9s, COIs) and monitor AP aging; ensure timely payments and early payment discounts.
• Support ERP implementation; map current workflows and assist data migration and UAT testing.
• Assist in payroll processing: time entry validation, transmission to third-party processor, and reconciliations.
