Job summary

Moss seeks an Apprenticeship Administrator to support the Moss Solar Apprenticeship Program. You will help manage onboarding, document control, and coordination with HR, Payroll, IT, and field leadership to keep apprenticeship operations running smoothly.

In this fast-paced role, you will track RTI hours, maintain accurate apprentice records, and assist with communications, events, and training logistics while ensuring regulatory compliance.

  • Schedule, travel coordination, invoices, and expense reports for Apprenticeship Manager.
  • Organize logistics for meetings, trainings, and events; take notes and follow-ups.
  • Serve as liaison between Apprenticeship Team and HR, Payroll, IT to streamline operations.
  • Track RTI hours in the designated platform and maintain audit-ready reports.
  • Assist with onboarding and filing for apprentices and journeyworkers, ensuring proper documentation.

This is a fast-paced, high-visibility role requiring strong organization, initiative, attention to detail, and effective communication.The position collaborates closely with management, superintendents, apprenticeship coordinators, and apprentices to support day-to-day program operations, maintain compliance documentation, and ensure accurate tracking and reporting across key apprenticeship milestones. The role operates within a construction environment and is expected to become familiar with Moss processes, priorities, and field-driven timelines.ESSENTIAL JOB DUTIES AND RESPONSIBILITIESAdministrative & Operational SupportSupport the Apprenticeship Manager and Senior Coordinator with scheduling, meeting logistics, travel coordination, invoices, and expense reportsOrganize and execute logistics for internal meetings, trainings, and events (scheduling, materials preparation, note-taking, and follow-ups)Act as liaison between the Apprenticeship Team and internal departments (Field Leadership, HR, Payroll, IT) to streamline operations and resolve administrative needsApprentice & Journeyworker Intake, Onboarding, and File ManagementReceive, organize, and prepare apprentice & journeyworkers applications for review by the Apprenticeship TeamAssist with onboarding for new team members in collaboration with HR and internal departments, ensuring proper documentation and system accessMaintain and upload apprentice files in compliance with applicable state and federal regulations and internal requirementsTracking, Monitoring, and Reporting (explicitly added)Track and submit Related Technical Instruction (RTI) hours on TCP (or designated platform).Monitor apprentice status changes (terminations, transfers, suspensions, completions) and update reports to keep the team informedReconcile updates received from apprenticeship coordinators and ensure tracking tools and reports remain current, accurate, and audit-readySupport the Senior Coordinator in the preparation and submission of apprentice bonuses, including tracking eligibility and required documentationCommunications, Resources, and Program SupportAssist with apprentice-facing communication regarding administrative steps, events, and key milestonesContribute to the creation and maintenance of SOPs, templates, and internal resourcesManage swag inventory (tracking, reordering, and coordinating distribution to apprentices/events)Perform other duties as assignedEDUCATION AND WORK EXPERIENCEStrong attention to detail and ability to organize, prioritize, multi-task, and work independentlyProfessional written and verbal communication skills; strong interpersonal skillsProficiency with Microsoft Office SuiteDemonstrated problem-solving skills with a focus on quality and complianceStrong teamwork skills and ability to work in a collaborative environmentAbility to take initiative without waiting for directionWillingness and desire to learnStrong attention to detail and ability to organize, prioritize, multi-task, and work independentlyProfessional written and verbal communication skills; strong interpersonal skillsProficiency with Microsoft Office SuiteDemonstrated problem-solving skills with a focus on quality and complianceStrong teamwork skills and ability to work in a collaborative environmentAbility to take initiative without waiting for directionWillingness and desire to learnBilingual (English/Spanish) preferred, with the ability to effectively communicate with Spanish-speaking apprentices and field teams.
