Job summary

City of New York in New York City is seeking a Principal Administrative Associate to supervise the Application Processing team and manage filings, cashier duties, and daily reconciliations. The role reports to the Bronx Director of Operations and Service Manager, with responsibility for assigning workload and ensuring compliance.

The position allows remote work up to 2 days per week under the Remote Work Pilot Program, with residency rules for city employment.

Qualifications

  • Bachelor's degree with 2 years of clerical/administrative experience.
  • Associate degree with 3 years of clerical/administrative experience including supervisory.
  • High school diploma with 4 years of clerical/administrative experience including supervisory.
  • Equivalent combination allowed with one year of supervisory experience.

Responsibilities

  • Supervise the Application Processing team.
  • Process Initial filings, Demos, Initial/Renewal Permits, PAA filings submitted through e-Submit.
  • Assign, Review and accept required items in eSubmit.
  • Handle Borough Office cashier transactions.
  • Process DOB NOW PACO/Permits (Initial & Renewal) Pro-Cert w/PW2 filings.
  • Manage the safe and ensure all checks are properly stored, locked, and petty cash verified daily.
  • Distribute daily workload to Application Processing team.
  • Verify and review lockbox reconciliations for the Application Processing team.
  • Run ACRAF and complete the Daily Cash Receipts Lockbox Summary.
  • Perform bank deposits whenever necessary.
  • Email Weekly Administration to Fiscal daily.
  • Respond to customer service inquiries via email and phone and provide in-person assistance to applicants and homeowners as needed.
  • Distribute supplies to the Application Processing team.
  • Act as a backup to the Service Manager.
  • Special projects as needed.

Job description

  • Assign, Review and accept required items in eSubmit

  • Manage the safe and ensure all checks are properly stored, locked, and petty cash verified daily
  • Distribute daily workload to Application Processing team

Civil Service Status

Only those who are permanent in the Principal Administrative Associate civil service title, applicants who are reachable on the Principal Administrative Associate open competitive list, and applicants as indicated below will be considered.

Candidates who are permanent in comparable civil service titles may be considered for title change under rule 6.1.9 of the Personnel Rules and Regulations of the City of New York.

PRINCIPAL ADMINISTRATIVE ASSOC - 10124

Minimum Qualifications
  • A baccalaureate degree from an accredited college and two years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
  • A four-year high school diploma or its educational equivalent approved by a state’s department of education or a recognized accrediting organization and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; or
  • Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 year.

New York City residency is generally required within 90 days of appointment.
