Job summary

MIFAB Inc. on Chicago's south side is seeking an Accounting Specialist to support both Accounts Payable and Accounts Receivable. This in-person role will be cross-trained to cover both functions and work closely with current specialists.

The long-term goal is to develop an employee who can independently handle AP and AR. The ideal candidate will have prior office management, bookkeeping, or accounting support experience and be comfortable with vendors, customers, and internal staff.

Qualifications

• Three years in office management, bookkeeping, AP, or AR.
• Experience handling both AP and AR is preferred.
• Accounting degree not required.

Responsibilities

• Review vendor invoices for accuracy and approval.
• Enter vendor invoices and credit memos into the accounting system.
• Match invoices to purchase orders and receiving documents.
• Communicate with vendors regarding invoice and payment questions.
• Research and resolve invoice discrepancies.
• Assist with preparing vendor payments.
• Maintain accurate vendor records and supporting documentation.
• Reconcile vendor statements and follow up on missing invoices.
• Assist with employee expense reports and credit card documentation.
• Apply customer receipts to outstanding invoices.
• Communicate with customers regarding billing, payments, and account balances.
• Contact customers regarding past-due invoices.
• Work with salespeople and coordinators to resolve payment disputes.
• Monitor customer accounts for missed payments and signs of financial problems.
• Maintain customer credit files and account information.
• Prepare reports of past-due accounts and collection activity.
• Support AP/AR and general accounting processes.
