Job summary

The Ambulatory EHR Project Manager leads the planning and deployment of the Hospital and Clinics Epic Electronic Health Record (EHR), including both practice management and EHR, to outpatient clinical areas such as new health system sites, University Healthcare Alliance (UHA) medical foundation practice locations, affiliated independent physician practices, and employer-based clinics.

Ambulatory EHR Project Manager

The Ambulatory EHR Project Manager leads the planning and deployment of the Hospital and Clinics Epic Electronic Health Record (EHR), including both practice management and EHR, to outpatient clinical areas such as new health system sites, University Healthcare Alliance (UHA) medical foundation practice locations, affiliated independent physician practices, and employer-based clinics.

Responsibilities

• The Project Manager will direct and manage a team of matrixed analyst resources for ambulatory Epic build, training, interface development, etc.
• They will oversee day‑to‑day project management and ensure the successful implementation of EHR and/or practice management.
• Interface with various UHA, employer, and other partners, stakeholders, and customers to plan and track implementations.
• Use Lean management methods to ensure standard work practices within implementation teams.
• Be primarily accountable for the successful delivery of these implementations and for ensuring a high level of customer satisfaction for the solution and the health system experience.
• Develop full‑scale project plans and associated communication documents.
• Lead and manage operational and tactical aspects of multiple and/or large‑scale projects from beginning to end.
• Plan, schedule, and track project timelines, milestones, and deliverables using appropriate tools; ensure projects are completed on time and within budget.
• Maintain up‑to‑date project documentation for all initiatives that include technical details, user expectations, project goals, work effort, accountability, and deliverables.
• Lead project steering committee meetings with appropriate content related to project progress, risks, issues, mitigations, and any other items that require steering committee actions.
• Communicate project expectations to resources and stakeholders.
• Collaborate with peers, developers, subject matter experts, and other stakeholders.
• Provide input in the development of project management protocols, procedures and guidelines.
• Research issues and recommend options—including alternative solutions when necessary to address system limitations—to complex and/or controversial matters, including pros, cons, risks, benefits, costs, and unintended consequences.
• Lead smooth coordination and turnover of projects both at the initial stage and project end/conclusion.
• Maintain professional skill levels and keep informed of changes in technology that may affect EHR systems and their users.
• Prioritize and manage multiple priorities and deadlines across many competing and concurrent tasks.
• Manage risk and utilize creative problem‑solving techniques.
• Anticipate, create, and facilitate planned and unplanned changes.
• Maintain a strong understanding of technology and its application to achieve medical and business objectives.
• Support marketing efforts and other educational events as assigned.
• Perform miscellaneous job‑related duties as assigned.

Qualifications

• Education: Bachelor’s degree or equivalent work experience.
• Experience: 5 or more years of progressively responsible and directly related work experience.
• Prefer 4 years of large‑scale project management experience in the health care industry.
• Prefer project management experience with Epic.
• Prefer experience in process improvement.
• Knowledge, Skills, and Abilities: Healthcare background, experience and performance that promotes a high level of credibility with clinical professionals.
• Knowledge and understanding of goals and the interdependencies of functional departments and groups (in the health care industry) and the ability to lead large‑scale complex IT projects.
• Knowledge and understanding of needs, goals, deliverables and interdependencies of various functional groups and departments in a health care environment.
• Excellent written, oral, instructional, presentation, and interpersonal skills focused on motivation and a positive attitude.
• Highly self‑motivated, directed and change‑oriented.
