Job summary

UNC Charlotte seeks an Alumni Communications Specialist to manage marketing and communications for the Office of Alumni Engagement. This role coordinates with University Communications to plan and execute alumni event communications and fundraising campaigns.

The position will lead email campaigns, craft tailored messaging, develop event communications, and guide interview questions for award recipients, with occasional travel and after-hours work as needed.

Qualifications

  • Bachelor's degree from an accredited college or university.
  • Minimum of 2 years' experience in digital marketing, strategic communication campaign building, email marketing, and/or public relations.
  • Strong technical background with Google Suite, Canva, and Adobe Creative tools; familiarity with Cvent and Salesforce a plus.

Primary Purpose of Department

The Division of University Advancement encompasses the University of North Carolina at Charlotte’s primary outward-facing units. These units include Alumni Engagement, External Relations & Partnerships, University Advancement Operations, University Communications & Marketing, University Development, and University Events.

Primary Purpose of Position

The Alumni Communications Specialist position provides marketing and communications management for the Office of Alumni Engagement. This position will serve as a liaison for marketing and communications efforts between the department and University Communications. This position will plan and execute communications for alumni engagement, including alumni events. Such communications would be implemented as aligned with the University and Alumni Engagement’s mission, vision, values, and objectives.

This position will be responsible for advancing UNC Charlotte’s efforts to increase the engagement of alumni through collaborative communication strategies. This position shares in the responsibility and success for achieving university engagement goals and understands that communication is an important strategy in the effective development, growth, and management of university relationships.

Responsibilities include:

  • Create and distribute email communications as requested.
  • Develop and execute event and campaign-specific communication strategies for all alumni engagement events and campaigns.
  • Develop and implement a comprehensive communications plan that supports alumni engagement strategies.
  • Lead the interview process for award recipients, developing tailored, insightful video script questions. Collaborate with the Director of Alumni Operations and Special Projects to guide recipients through video production interviews.
  • Provide key email communication support for university-wide engagement and fundraising campaigns, such as Niner Nation Gives and Niner Nation Week.

Summary of Position Responsibilities

  • Collaborate with Program Managers to develop tailored email marketing strategies for alumni events, defining audience targets, messaging angles, and send schedules.
  • Write, design, and proofread engaging, brand-aligned email communications to promote alumni events, programs, and department initiatives. Design custom graphics as needed and select high-quality visual assets to elevate email aesthetics and drive engagement.
  • Coordinate with Program Managers and the Senior Director of Alumni Engagement to ensure all messaging and recipient lists are thoroughly proofread, approved, and deployed error-free on schedule.
  • Define and recommend targeted alumni audience segments in collaboration with Program Managers to maximize engagement and attendance.
  • Collaborate closely with University Communications to align alumni messaging with overall institutional brand standards and strategic goals.
  • Serve as the team lead on email marketing standards, continually recommending improvements for design, layout, tone, call-to-action placement, and subject lines.
  • Serve as the resident subject matter expert for the Cvent event management platform and master email marketing workflows within Cvent.
  • Build, verify, and pull targeted invitation lists and detailed reports directly from Salesforce while maintaining clean list practices and data integrity.
  • Track, analyze, and report on key email performance metrics (open rates, CTRs, conversion rates, unsubscribes) to refine future strategies.
  • Conduct background research on annual Alumni Award recipients to highlight their achievements and impact.
  • Lead the interview process for Alumni Award recipients, developing tailored, insightful video script questions. Collaborate with the Director of Alumni Operations and Special Projects to guide recipients through video production interviews.
  • As needed, draft remarks for Department leadership for high-profile events including, but not limited to, Alumni Awards, 10 Under Ten Awards, ACE Awards & Appreciation Luncheon and Legacy Lunch.
  • Provide key email communication support for university-wide engagement and fundraising campaigns, such as Niner Nation Gives and Niner Nation Week.
  • Independently manage communication calendars, prioritizing multiple concurrent projects to ensure all emails are drafted, approved, and deployed on schedule.
  • Ability to work some weekends and evenings; occasional travel may be required.

  • Minimum of 2 years' experience in digital marketing, strategic communication campaign building, email marketing, and/or public relations.

Preferred Education, Knowledge, Skills and Experience

  • Strong technical background with advanced computer skills including Google Suite, Monday.com, Canva, Adobe Creative, or related graphic editing software. Knowledge of Cvent and Salesforce is a plus.
  • Excellent written and verbal communication skills with the ability to deal effectively and sensitively with a variety of constituencies.
  • Independently manage communication calendars, prioritizing multiple concurrent projects to ensure all emails are drafted, approved, and deployed on schedule.
  • Demonstrate high autonomy and a self-starter mindset, proactively seeking out missing details, clarifying event specifics, and resolving bottlenecks independently.
  • Ability to work independently and as a member of a team.
