Responsibilities

• Coordinate daily with office and field teams.

• Ensure jobs are dispatched and time captured.
• Communicate service schedule to field personnel.
• Process payroll weekly.
• Schedule resources for service jobs and issue purchase orders.
• Prioritize service calls with the service management team.
• Process invoices per billing practices.
• Perform other duties as assigned and as business needs evolve.

Responsibilities:

• Coordinate daily with office and field teams
• Answer incoming service requests via phone and email
• Coordinate with Project Managers to schedule appointments
• Upload required reports to city and 3 rd party portals
• Work with fitters and Project Managers to ensure jobs are dispatched and time is properly captured
• Communicate the service schedule to field personnel and service teams
• Process payroll weekly
• Schedule resources to support service jobs (order/call-off lifts, schedule subcontractors (electrical, alarm, etc.), requests purchase orders
• Works with service management team to prioritize service calls
• Process invoices in accordance with standard billing practices set forth by service management team
• Perform other duties as assigned and as business needs evolve

Requirements:

• Prior work as an Office or Administrative Assistant or similar
• Experience with project management or billing platforms such as Service Trade, Service channel, etc. preferred
• Ability to work independently with proficiency in the Microsoft Office suite required
• Strong oral and written communications skills with the ability to professionally communicate with all levels of leadership, customers, and employees.
• Excellent organizational skills and multi-tasking skills; resourceful and proactive in completing duties
• Willingness to assist with miscellaneous projects as needed
• Ability to pass pre-employment drug screen, background check, and MVR
• Education: High school diploma or equivalent.

Pay Range

• $50,000-$60,00/yr depending on background and experience
