Qualifications

• 1–2+ years of experience in recruiting coordination, HR operations or a similar function.
• Hands-on comfort with AI tools (Claude, ChatGPT, Copilot or similar) in a professional context.
• Strong written communication; your messages reflect Apollo's brand.
• Exceptional organizational instincts and ability to manage multiple searches simultaneously.
• Genuine curiosity about how agentic systems work and why the tools exist.
• Comfort with ambiguity as the infrastructure is being built and improved.
• Experience with Workday or a comparable ATS is a plus; fast learner.

Responsibilities

• Serve as a primary contact for candidates across active searches with timely, thoughtful communication.
• Build and manage AI-assisted candidate communication workflows from outreach to offer.
• Surface delays or friction to recruiters and partners to keep candidates engaged.
• Manage end-to-end interview scheduling across a high-volume, multi-stakeholder environment.
• Leverage AI scheduling tools to reduce manual overhead while preserving quality.
• Troubleshoot conflicts and keep all parties informed in real time.
• Use Workday and internal tooling to maintain data integrity across the hiring lifecycle.
• Contribute to prompt development and workflow documentation for new agentic capabilities.
• Identify coordination friction points and propose automation improvements.
