You will lead AI-enabled processes, ensure accuracy, and implement scalable procedures that improve turnaround times while preserving quality and compliance.

Qualifications

• Ownership of brokerage operations or similar client-service workflows in a professional services firm.
• Understanding of how transactions move from engagement through documentation, invoicing, payment tracking, and closeout.
• Initiative, independent follow-through, sound judgment, and clear written client communication.
• Ability to build credibility with clients and partners, including by phone, while managing competing priorities and deadlines.
• Strong proficiency with Google Workspace, spreadsheets, CRM, billing, and campaign tools.
• Advanced hands-on fluency with AI agents (e.g., ChatGPT Work, Codex, Claude Code) for operational tasks.
• Ability to demonstrate completed workflows and explain checks during a hiring exercise.

Responsibilities

• Coordinate marketing initiatives, business strategy work, and assigned client accounts with clear next actions, owners, and deadlines.
• Support founders with business planning, strategic initiatives, and execution.
• Maintain client, broker, landlord, and vendor communications; resolve routine issues and escalate with context and recommendations.
• Coordinate surveys, tours, proposals, transaction documents, and client updates; ensure accuracy before delivery.
• Keep lease milestones, commission agreements, and closing records current through closeout documentation.
• Prepare invoice packages and commission docs with the accounting team; track receivables and follow up on inputs and collections.
• Own an agreed marketing calendar for campaigns, newsletters, deal announcements, and market materials; brief specialists and move content through distribution.
• Assist prospecting with targeted lists, prepared materials, CRM records, and timely routing of responses to an advisor.
• Run weekly review of priorities and blocked work; surface capacity conflicts and follow decisions through to completion.
• Develop AI-assisted workflows for document review, spreadsheet analysis, reporting, CRM maintenance, and marketing production; test improvements and document methods.
