Job summary

Columbia Safety Services, LLC in Seattle is seeking a Business Operations Associate to own cross-functional office setup, acquisitions support, and operational administration under the CEO.

You will work closely with CEO, operations, accounting, and marketing; drive process improvements, implement AI-enabled workflows, and ensure licensing, vendor contracts, and central billing stay organized.

Qualifications

• Requires a 4 year degree or equivalent track record.
• 2+ years in a role with ownership of outcomes.
• Daily use of Claude or comparable AI tools.
• Strong Excel skills and ability to build models.
• Proficient with Microsoft 365 and common business software.
• Ability to interview people about their work and improve processes.
• Clear professional written and verbal communication.
• Residence in Greater Seattle area; in-office role.
• Valid driver’s license and clean driving record.
• Ability to pass background check and pre-employment screen.

Responsibilities

• Own new office and market setup including space, phones, internet, furniture, and equipment.
• Coordinate vehicle ordering, outfitting, and fleet maintenance tracking.
• Manage licensing across multiple states with a centralized tracking system.
• Handle corporate purchasing and vendor contract management.
• Oversee centralized alarm monitoring billing and onboarding logistics.
• Support acquisition diligence, integration checklists, and post-close operations.
• Map current workflows and rebuild processes to reduce waste and improve efficiency.
• Develop and maintain Claude Projects and AI-assisted workflows for staff use.
• Document standard work to ensure improvements outlive individuals.
• Keep Microsoft 365 environment and shared files organized and usable.
