Job summary

VIVA USA Inc. is seeking an admissions and financial aid support administrator to handle high-volume applications and data entry. The role includes responding to inquiries, maintaining databases, and coordinating with the admissions team.

Responsibilities

  • Assist with admissions, financial aid procedures; provide information to applicants.
  • Process high volume admissions applications; manage confidential documents.
  • Input data and update electronic databases; validate data.
  • Review documents for completeness; track files and distribute for review.
  • Support event preparation for Admitted Students Weekend and recruiting.
  • Contribute to office administration and process improvements.
  • Respond to inquiries via phone, email, and drop-ins.
  • Perform other duties as assigned by Associate Dean and Director.

Job description

  • Work with prospective applicants regarding admissions.
  • Serve as subject matter resource about admissions and financial aid procedures, provide accurate information regarding the programs.
  • Process high volume of admissions applications. Receive, distribute and/or respond to highly confidential documents.
  • Input data and update electronic databases. May collect, gather and validate data.
  • Review documents and forms for completeness, track files for follow up and distribute for review.
  • Maintain integrity of data in the law school database and organization of the paper files.
  • Respond to routine inquiries via phone calls, emails, and drop-ins from prospective students, external constituents, faculty and staff.
  • Research and resolve routine admissions issues, refer complex issues to other staff.
  • Process incoming mail. Receive, sort, process, and distribute highly confidential documents.
  • Assist in the preparation of Admitted Students Weekend and other recruiting events.
  • Contribute to general office administration and process improvements within the office.
  • Perform other duties as assigned by the Associate Dean for Admissions and Financial Aid and Associate Director.
  • A Bachelor’s degree (preferred) and one year of relevant experience, or combination of education and relevant experience.
  • Strong written and verbal communications skills. Proficiency in Microsoft Office Suite
  • Basic computer skills, including experience with Microsoft Office Suite; Strong word processing and data entry skills including the ability to produce accurate work when performing data entry, editing text, and updating Excel spreadsheets
