The Admissions Director is a vital leadership role responsible for overseeing and directing the admissions process to achieve census growth, manage referral channels, and maintain strong relationships with healthcare providers and community partners. In this fast-paced environment - averaging 2-3 admissions per day, the ideal candidate is a skilled relationship builder who thrives on teamwork, excels at communication, and ensures every resident’s journey begins with excellence.
Reports To: Facility Administrator and Regional Director of Business Development.
Inquiry & Referral Management: Promptly receive, review, and respond to incoming referrals, leads, calls, and inquiries from hospital case managers, social workers, physicians, and family members.
Clinical & Financial Screening: Evaluate prospective resident applications, medical records, and health conditions against facility admission criteria to determine acceptance, rejection, or referral to alternative programs.
Admission Onboarding & Documentation: Complete all required admission and financial responsibility forms, contracts, and application packets accurately and in a timely manner.
Pre-Admission Verification: Confirm health insurance coverage, benefits, managed care reimbursement guidelines, and pre-authorizations (Medicare, Medicaid, commercial insurance) prior to placement.
Resident & Family Support: Serve as the primary point of contact during the transition process; communicate transparently with families, conduct tours, and resolve any initial dissatisfactions or concerns promptly.
Cross-Facility Assessments: Assist with pre-admission assessments for assisted living and independent living residents when requested.
Target Management: Consistently meet and exceed established census and occupancy goals.
Referral Network Development: Build, maintain, and expand strategic hospital and community relationships (case managers, social workers, physicians, discharge planners, and referral advisors).
Community Outreach & Events: Schedule speaking engagements, attend networking events, conduct educational seminars, and organize open houses to promote facility awareness.
Marketing Collaboration: Partner with the marketing and business development teams to execute promotional strategies across literature, digital/media platforms, and community campaigns.
Room Readiness & Care Transitions: Collaborate with facility department heads (nursing, social services, dietary, housekeeping) to ensure rooms are prepared and clinical teams are equipped to receive new admissions.
Internal Communication: Timely share referral details, clinical notes, and financial data with relevant internal teams (Marketing, External Case Managers, interdisciplinary staff).
Data Tracking & Reporting: Compile, update, and submit weekly Admissions and Referral Management reports to track metrics, analyze trends, and report progress to leadership.
Policy & Regulatory Compliance: Adhere to and recommend updates for admission guidelines, criteria, and standard operating procedures. Ensure strict compliance with patient safety, confidentiality (HIPAA), and company standards.
Team Collaboration & Coverage: Work actively as a supportive member of the broader admissions/marketing team, providing peer coverage as needed. Maintain equipment, adhere to safety guidelines, and continually upgrade professional knowledge.
High-volume admissions experience in a healthcare or senior living setting.
Proven track record of meeting or exceeding census targets.
Strong knowledge of admissions documentation, screening procedures, and patient safety regulations.
Exceptional interpersonal, communication, and relationship-building skills.
Professional demeanor with a commitment to confidentiality and ethical conduct.
Ability to work collaboratively within a team and handle cross-coverage duties.
In-depth understanding of Medicare, Medicaid, managed care reimbursement guidelines, and insurance authorization processes.
Hands-on proficiency with healthcare Electronic Medical Records (EMR) systems.
Background in developing and executing healthcare marketing, networking, and public speaking initiatives.
Experience writing or updating operational admission guidelines and standard procedures.
