Job summary

Heritage Grove Estates is seeking an Admissions Coordinator in Topeka, KS to be the first impression for incoming residents. The ideal candidate understands Medicare, Medicaid, and private insurance, and brings a warm, service-oriented approach to every interaction.

As the admissions liaison, you will coordinate the entire process, partner with the Marketing Director, and shape Day One experiences that are welcoming, informative, and compliant with regulations.

Qualifications

• Experience in healthcare admissions, case management, or long-term care navigation.
• Expertise in Medicare, Medicaid, and private insurance processes.
• Excellent verbal and written communication skills.
• Warm, enthusiastic personality with a natural ability to connect with people.
• Strong problem-solving skills and attention to detail.
• A desire to be a Caring resource and support during a vulnerable time.
• Creativity and flexibility in making admissions experiences memorable and smooth.

Responsibilities

• Coordinate all aspects of the admission process from initial inquiry to resident intake
• Guide families through Medicare, Medicaid, private pay, and insurance processes with clarity and honesty
• Build relationships with referral sources, hospitals, and community partners
• Collaborate with the Marketing Director to support census goals and community outreach
• Ensure seamless transitions by working with the clinical and administrative teams to make every first impression count
• Creatively shape “Day One” experiences that include thoughtful welcomes, room setup, and resident orientation
• Maintain accurate documentation and support compliance with all state and federal guidelines
