Job description

Transform Lives From Day One: Be the First Face of Educational Excellence

At Alpha, your role transcends traditional administration—you're the architect of first impressions that shape educational journeys. As our Admissions Coordinator, you'll stand at the intersection of family dreams and transformative education, crafting personalized experiences that convert curiosity into commitment.

This position isn't about managing paperwork—it's about orchestrating meaningful connections. You'll be the confident guide who walks parents through one of life's most significant decisions with empathy, expertise, and unwavering attention to detail. Every email you craft, every tour you coordinate, and every question you answer shapes how families envision their child's future.

If you excel in environments where excellence is expected, where meaningful relationships drive success, and where your organizational prowess directly impacts educational outcomes, Alpha offers you a platform to make a difference from the very first "hello."

What You Will Be Doing

  • Cultivating meaningful relationships with prospective families through exceptional phone and email communications that address concerns, answer questions, and build authentic connections
  • Orchestrating compelling school tours by masterfully coordinating internal schedules, confirming logistical details, and preparing families for an inspiring campus experience
  • Designing and implementing student shadow days that showcase Alpha's unique educational environment while ensuring seamless experiences tailored to individual student needs
  • Maintaining meticulous documentation of all family interactions in HubSpot, creating a comprehensive journey map that ensures personalized follow-up at every stage
  • Embodying Alpha's educational philosophy and core values in every interaction, serving as a living example of our commitment to transformative education

What You Won’t Be Doing

  • Determining final admissions verdicts or modifying established institutional policies
  • Taking a reactive approach—this role demands proactive engagement and anticipation of family needs
  • Delivering generic, one-size-fits-all communications that fail to acknowledge each family's unique circumstances
  • Operating independently of other departments—success in this role requires seamless collaboration across the Alpha ecosystem
  • Engaging in repetitive, scripted interactions—we value authentic communication that responds thoughtfully to the moment

Admissions Coordinator Key Responsibilities

Create and sustain an exceptional admissions journey that resonates with prospective families, building lasting trust through impeccable communication, thoughtful coordination, and genuine relationship development—ultimately transforming interested inquiries into enthusiastic enrollments.

Basic Requirements

  • Exceptional communication abilities, demonstrating clarity and warmth in both written and verbal exchanges
  • Minimum 2 years of proven experience in roles requiring significant customer or family interaction
  • Demonstrated capacity to juggle multiple priorities while maintaining attention to detail and consistent follow-through
  • Natural phone presence that conveys both professionalism and authentic warmth
  • U.S.-based with authorization to work without requiring visa sponsorship

Nice-to-have Requirements

  • Background in educational admissions, hospitality management, or operational coordination
  • Practical experience with HubSpot or similar CRM platforms
  • Previous involvement with campus operations or family engagement initiatives in environments where trust is paramount
