Job summary

Dumfries & Galloway College is seeking an organised Administrator to support the External Development & Commercial Team. You will ensure accurate records, systems and compliance for training programmes, working closely with learners, employers and staff.

Key duties include data management, invoicing support, and high-quality customer service with a strong emphasis on confidentiality and accuracy. The role is based at the Dumfries Campus with a 12-month fixed term.

Qualifications

  • Educated to SCQF Level 6 (or equivalent).
  • Preferably English or Business related subject.
  • Experience in education, training or employability setting is advantageous.
  • Familiarity with awarding body systems and funding/compliance requirements.

Responsibilities

  • Provide comprehensive administrative support for skills delivery programmes, including project administration and reporting.
  • Maintain accurate learner, employer and course data across internal systems, CRMs and awarding body platforms.
  • Be the first point of contact for learners, employers and internal teams via phone and email.
  • Support invoicing, payments, audits and funding requirements.
  • Assist with quality assurance, audits and liaise with external partners.

Dumfries Campus | £28,949 per annum (increasing to £29,933.29 from 01/09/26) | 35 hours per week | 12 months fixed term

What’s the Job?

We are looking to appoint an organised and detail focused Administrator to provide high quality administrative support to our External Development & Commercial Team. This role is essential to the smooth delivery of training programmes and work based learning, ensuring that records, systems, finance processes, reporting and compliance requirements are managed accurately and efficiently.

This is an excellent opportunity for an experienced administrator who enjoys working in a fast paced environment, supporting learners, employers and colleagues while maintaining high standards of accuracy, customer service and confidentiality.

What You’ll Do

As an Administrator within our External Development and Commercial Team, you will:

  • Provide comprehensive administrative support for skills delivery programmes, including project administration and reporting
  • Maintain accurate learner, employer and course data across internal systems, CRMs and awarding body platforms
  • Act as a first point of contact for learners, employers and internal teams, handling enquiries professionally and efficiently
  • Comprehensive use of MS Excel for data processing and analysis purposes
  • Support financial and compliance processes, including invoicing, payments, audits and funding requirements
  • Liaise with internal departments and external partners to ensure smooth, compliant and high quality delivery of training provision
Who we’re looking for

We’re looking for someone who brings:

  • Experience in an administrative role within a busy office or team environment
  • Proven ability to maintain accurate records and work with databases or CRM systems
  • Experience handling enquiries professionally by phone and email
  • Experience working with financial or auditable processes
  • Strong organisational skills with the ability to prioritise workload and meet deadlines
  • Excellent written and verbal communication skills
  • High level of accuracy and attention to detail
  • Proficient IT skills, including Microsoft Word, Excel and Outlook
  • This post is required to be based at our Dumfries Campus

Educated to SCQF Level 6 (or equivalent), preferably including English or a Business related subject.

  • Experience within an education, training or employability setting
  • Experience supporting quality assurance or external audit processes
  • Familiarity with awarding body systems
  • Understanding of funding or compliance requirements
  • Relevant further education qualification (e.g. HNC/HND in Business or Administration)
